Project Coordinator

About the Opportunity

Our client is seeking a detail-oriented and proactive Project Coordinator to support the successful delivery of multiple construction projects from planning through completion. Working closely with Project Managers, Estimators, Site Supervisors, subcontractors, and clients, you'll help ensure projects remain organized, on schedule, and within budget.

This is an excellent opportunity for someone who thrives in a fast-paced environment, enjoys coordinating multiple moving parts, and takes pride in delivering exceptional customer service while keeping projects running efficiently.

Key Responsibilities

Coordinate multiple projects alongside Project Managers, ensuring schedules, documentation, and timelines remain on track.
Prepare and maintain project documentation, including work orders, purchase orders, change orders, and project closeout packages.
Schedule subcontractors, suppliers, inspections, and material deliveries to support project timelines.
Assist with project estimates, scopes of work, and documentation using Xactimate .
Track project costs, progress billing, change orders, and key project milestones.
Communicate regularly with clients, subcontractors, suppliers, and internal teams to provide updates and resolve issues.
Support procurement, project closeout, and ensure project files are accurate and complete.
Identify scheduling conflicts or project risks and work proactively with the Project Manager to find solutions.

Qualifications

2+ years of experience in a Project Coordinator, Project Administrator, Assistant Project Manager, or similar construction support role.
Experience within construction, renovations, restoration, general contracting, or a related industry is considered an asset.
Working knowledge of construction drawings, project scheduling, and project documentation.
Experience using Xactimate is considered a strong asset.
Proficient with Microsoft Office, particularly Excel, Word, and Outlook.
Experience with Procore, Buildertrend, Jonas, or other project management software is an asset.
Excellent organizational and time management skills with the ability to prioritize multiple projects.
Strong verbal and written communication skills with a customer-focused approach.
Detail-oriented with strong problem-solving abilities and a proactive mindset.
