Position Summary
The Onboarding Specialist manages and coordinates all aspects of
the client onboarding process, ensuring a seamless, efficient
experience from account initiation through funding and completion.
This role is a key operational support function within the
organization, working closely with the Business Development team,
custodians, referring agents, and internal departments to ensure
accurate, timely account setup and asset transfers.
The successful candidate oversees the collection, preparation,
review, and administration of client documentation, ensuring all
onboarding activities comply with internal procedures, regulatory
requirements, and industry standards. This position requires
exceptional attention to detail, strong organizational and
communication skills, and the ability to manage multiple priorities
in a fast-paced financial services environment.
The Onboarding Specialist plays a vital role in maintaining high
service standards by proactively monitoring account progress,
resolving documentation deficiencies, tracking transfers, and
providing regular status updates to stakeholders. In addition to
onboarding responsibilities, the role supports ongoing client account
maintenance, transaction processing, reporting, and general
administrative operations.
Working collaboratively with the Business Development team and
senior management, the Onboarding Specialist contributes to
operational efficiency, client satisfaction, and the firm's overall
success and growth.
Qualifications & Skills
Postsecondary education in Business Administration, Finance,
Office Administration, or a related field is considered an asset
Previous experience in financial services, wealth management,
banking, or client onboarding is preferred
Strong attention to detail and excellent organizational and timemanagement
skills
Ability to manage multiple priorities and meet deadlines in a
fast-paced environment
Strong written and verbal communication skills
Proficiency in the Microsoft Office Suite, including Excel, Word,
and Outlook
Experience with CRM systems, financial platforms, or custodial
systems is considered an asset
Ability to handle confidential information with professionalism
and discretion
Strong problem-solving skills and proactive follow-up
Team-oriented mindset with the ability to work independently
when required
Key Duties & Responsibilities
Specific duties and functions include, but are not limited to:
Client Onboarding & Account Administration
Coordinate and manage all aspects of the new account opening
process from initiation to completion
Prepare Cardinal and custodian account-opening documentation
accurately and efficiently
Assist referring agents and clients with the completion of
onboarding documentation and requirements
Review submitted documentation for completeness and accuracy
and follow up on deficiencies or outstanding requirements
Update and maintain internal systems with new client and
account information
Ensure all onboarding activities are completed in compliance
with internal policies and regulatory standards
Account Funding & Transfer Processing
Coordinate all tasks related to the initial funding of client
accounts and transfer-in of client assets
Prepare Cardinal and custodian transfer documentation and
related forms
Track and monitor transfer requests to ensure timely completion
Proactively follow up with custodians, financial institutions, and
clients regarding outstanding transfers and documentation
Maintain accurate records of transfer activity and status updates
within internal systems
Prepare and communicate ongoing transfer updates to the
Business Development team
Administrative & Operational Support
Provide general office and administrative support as needed
Assist with workflow coordination and operational processes
Participate in special projects, process improvements, and
departmental initiatives
Complete additional duties and assignments as directed by
management
