Full job description

Office Coordinator

The Office Coordinator is responsible for the day-to-day administration and smooth operation of the office. This role provides administrative, logistical, and facilities support to ensure employees have the resources they need while maintaining an organized, efficient, and welcoming workplace.

Key Responsibilities

Coordinate employee travel, including flights, accommodations, and transportation.
Manage shipping, courier services, airport pickups, and office errands.
Process receipts, prepare invoices for payment, and maintain administrative records.
Prepare and manage rental agreements.
Coordinate office events, including birthdays, work anniversaries, and team celebrations.
Prepare and organize field equipment and supplies for projects.
Maintain clean, organized office, storage, and field equipment areas.
Coordinate office maintenance, repairs, renovations, and contractor scheduling.
Manage office and kitchen supplies, including groceries and refreshments.
Oversee company rental accommodations, including inspections, preparation for guests, and coordination of cleaning services.
Maintaining asset inventory (including IT).
Assist IT manager with local emergency management including security cameras, files, and tech issues.

Qualifications

Strong organizational and multitasking skills.
Excellent communication and customer service abilities.
Proficiency with Microsoft Office and general office software.
Valid driver's license with the ability to travel locally as required.
Ability to work independently and manage competing priorities.

Hours: Full-Time (approximately 35-40 hours per week)

Compensation: Based on experience
