Imagine having an ocean view from your office desk every day? The Bamfield Marine Sciences Centre is searching for a team player interested in making meaningful contributions that will support life-changing exploration and discovery in coastal and marine environments. For almost 50 years the BMSC has supported year-round education and research on the west coast of Vancouver Island, British Columbia. BMSC is owned and managed by a not-for-profit organization, the Western Canadian Universities Marine Sciences Society, whose members are University of Alberta, University of British Columbia, University of Calgary, Simon Fraser University and University of Victoria. The BMSC campus consists of a large waterfront property on which are situated classrooms and teaching labs, research facilities, a library, student and researcher housing, administration buildings, maintenance and storage facilities, a kitchen and dining hall, the Rix Centre for Ocean Discoveries, and foreshore operations that support research vessels and diving. A staff of approximately 40 people work at the BMSC with additional teaching staff, teaching assistants and interns hired seasonally. A competitive and comprehensive health and welfare benefits plan, including eligibility to join our pension plan, are currently provided to the BMSC through the University of Victoria (UVic) via an agreement the BMSC has entered as an external agency with UVic.

Job Profile: This is a regular, full-time position. Reporting to the Head of Guest Services, the frontdesk administrator performs many functions related to guest services administration and is often the first person to greet students, clients, and newcomers to BMSC. The position is central to the process and efficiency of our organization, and includes managing the central line, scheduling appointments, preparing reports, taking minutes, ordering office supplies, processing and directing the mail, writing and issuing emails on behalf of the organization, billing/invoicing clients and finding ways to improve administrative processes and guest services. We are a small organization and all staff work collaboratively with the organization, including participating in strategic initiatives that enhance community engagement and partnerships for the BMSC as well as supporting clients.

Job Requirements:

Education and Certifications:

Secondary required, PostSecondary preferred

Duties:

- Check-in and check-out guests, ensuring accurate information is recorded

- Assist guests with inquiries and provide information about the BMSC's facilities and services

- Handle guest complaints or concerns, escalating to management when necessary

- Process payments and maintain accurate records of transactions

- Maintain the cleanliness and organization of the front desk area

- Greet and welcome guests in a friendly and professional manner

- Answer phone calls, take messages, and redirect calls as necessary

- Assist in the administration and guest services of the main office

- Assist in maintaining company records,

- Assisting and maintaining various business, administration and guest services-related activities

- Entering data, maintaining meticulous records

- Follow up with customer payments and accounts Inventory management

Other skills and knowledge:

- Strong attention to detail and problem-solving skills

- Excellent communication, interpersonal, and writing skills

- Organized and able to work independently with little supervision

- Computer literate with proficiency in MS Windows, MS Excel, MS Word, MS Outlook

Job Type: Full-time

Salary: $24.00-$26.00 per hour

Expected hours: 37.5 per week
