As a Healthy Workplace Administrator with the Total Rewards team, you will provide administrative support to managers, leaders and staff within the division. Primary duties include:

Case Management:
- Upload emails and faxed documents to the Case Management system inbox. Inform WCB Coordinators, Ability Advisors or Vocational Rehabilitation Consultants (VRCs) when new information comes in.
- Support the VRCs and the Ability Advisors to set up case files, attach relevant documentation and confirm employee information.
- Act as the main point of contact for the Case Management software (NIKAManager) to train new staff on the use of the system, update menus and problem solve simple issues.
- Work with the NIKAManager vendor and the City IT Department to resolve software issues.
- Support secure monthly downloads and reporting to the City's server and Content Server.
- Arrange bookings with vendors for testing, training or treatment, including flight and accommodation.
Invoicing:
- Process invoices, obtain purchase orders or account coding, and review and document invoices through the Accounts Payable workflow; reconcile corporate credit card statements.
- Work with Finance and vendors to consolidate invoices and notify Finance of any outstanding invoices.
Project Work:
- Work with Leader, Safety Advisor, and the HR Business Partner to support Job Demand Analysis (JDA) Requests, including uploading reports to the JDA Teams site and Job Demand Analysis on Content Server.
- Function as back-up to Benefits Liaison role and to support the Job Library tool.
General Administration:
- Create and maintain files in accordance with corporate and business unit records management policies.
- Update and maintain Teams and SharePoint sites. Manage requests for system access, confirm access rights.
- Liaise with HR Records, Ability Advisors, VRCs, and/or the Corporate Health Consultant (CHC) to gather required information for Request for Information (RFI) requests, Access & Privacy requests, and general requests.
- Provide calendar management and resolve scheduling conflicts for the Total Rewards Manager.
- Organize meetings, prepare agendas, take and distribute meeting minutes.
- Create and maintain various spreadsheets for Ability Management.

Qualifications

A completed 1-year certificate in Business Administration or a related discipline with at least 3 years of senior level administration experience.
Intermediate proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint and Teams).
Experience with Records Management, Protection of Privacy Act (POPA), Access to Information Act (ATIA), Access & Privacy, or Health Record requests is an asset.
Preference will be given to applicants with experience using PeopleSoft Human Capital Management (HCM)/Financial Supply Chain Management (FSCM), Ariba, and Content Server/Physical Objects.
Knowledge of Health & Wellness programs, services, and related legislation (such as the Workers Compensation Board (WCB) Act) will be considered an asset.
Strong organization skills and multitasking abilities, attention to detail, a focus on customer service and the ability to maintain confidentiality and handle sensitive information.
Excellent communication skills and the ability to work well independently and in a team environment.

Workstyle

This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.
