Established in 2017, FASTEC Coatings Limited has quickly become one of Atlantic Canada’s leaders in the abrasive blasting & coating industry working in Marine and Industrial environments FASTEC Coatings Limited prides itself on its dedication to quality, customer service, and employee satisfaction.

We have an immediate opening for a Project Administrative Coordinator based in Elmsdale, Nova Scotia to work along with our operations teams on various scaled projects within Atlantic Canada.

Reporting to the Director of Operations & Director of Business Development, and working closely with customers, estimators, operations, and frontline staff, the Project Administrative Coordinator willprovide administrative support to both the front office and projects. The successful candidate is the first point of contact at the main office.

The ideal candidate is a motivated self-starter who may not know the answer to a question but will certainly find it and then use this learning for continued development in the role. Confident in their ability to problem solve and articulate solutions, the Project Administrative Coordinator seeks to understand how all the parts and pieces of a job come together successfully. Their attention to detail allows them to catch variances in advance of errors being made. They work well independently while easily moving into all-hands-on-deck mode when necessary.

Responsibilities:

As a Project Administrative Coordinator, your responsibilities will include, but are not limited to, the following:

Office Admin

Greeting and assisting all individuals that enter the main office.
Answering phone calls, emails and correspondence.
Ordering office supplies.
Maintaining all filing.
Assist management and staff with administrative tasks as needed
Other admin duties as required.

Project Admin Coordinator

Book and coordinate all accommodations for projects
Create and maintain rapport with all customers and suppliers
Coordinate with managers and suppliers to ensure projects have necessary inventory and equipment.
Manage all employee hours for projects, ensuring proper billing and timely submission for payroll.
Create and receive third-party purchase orders (POs) for project requirements
Prepare and manage all customer invoices.
Track and manage all pertinent details to ensure accurate and timely billing.
Prepare reports as required.
Monitor all project progress, deadlines and changes to projects.

Qualifications / Professional Requirements

2 years of experience in an administrative role, providing key support to organization.
Previous experience in a sandblast/industrial painting environment is an asset.
Experience using ERP systems for data management and reporting; specific experience working with Acumatica and / or Sage 50 Cloud would be an asset.
Proficient in Outlook, Word and Excel.
Strong written and oral communication.
A self-starter who can demonstrate taking initiative and ownership.
Detail oriented individual who endures accuracy.
Proven experience building and maintaining strong working relationships across multiple departments
