The Law Society of BC is seeking a temporary, full-time Assistant in our Professional Conduct department for a 3-month term.
This position provides administrative support to staff lawyers, accountants and paralegals in the Professional Conduct group in the investigation of complaints about lawyers. This position is responsible for the day-to-day word processing of correspondence, memoranda, opinions and summaries, many of which are deadline oriented. This position also handles some telephone calls with members of the public, lawyers and other professionals outside the organization.

The duties of this position include:

Providing support to staff lawyers, accountants and paralegals by proof-reading, formatting and finalizing correspondence, organizing enclosures, photocopying and saving electronic documents to record management system.
Ensuring electronic complaint file materials are properly named, organized and saved to the record management system, diarizing files for next steps, processing incoming mail and emails, and scheduling meetings.
Arranging interviews and court reporters, assembling interview material and processing invoices.
Maintaining the integrity of original documents, including scanning and storing of original documents.
Independently generating reminder letters and following up on matters for staff lawyers, accountants and paralegals which may include telephone communication with the public or lawyers.
Formatting opinions for the Discipline Committee’s meetings including assembling and combining electronic attachments to opinions.
Assisting other Professional Conduct Assistants as required, with administrative tasks and opening new complaint and fee mediation files, processing emails received by the Professional Conduct group and processing survey responses.
Such other duties as the managers in the Professional Conduct group may require.

Qualifications

Graduate of legal administrative assistant training course or equivalent skills acquired through work experience and a minimum of 3 years’ administrative experience.
Experience in a legal setting is preferred, including, some experience in dealing with the public and/or with demanding sometimes difficult people.
Proficient in oral and written communication, with solid command of English grammar, punctuation and spelling.
Ability to work independently, and to contribute, co-create with and cooperate in a team environment.
Intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Demonstrated ability to multi-task, prioritize deadlines, and perform effectively under pressure.
Strong attention to detail and ability to work under pressure with tight deadlines, whilst maintaining high quality of work and accuracy and a professional demeanour with the ability to handle sensitive and confidential information.

The salary range for this position is $62,591 to $68,034.
