Role Summary
Vyvyd Lighting is looking for an experienced Senior Technical Inside Sales & Sales Operations professional to manage quotations, customer enquiries, project follow-up, order coordination, and CRM records for active lighting projects.
This is a senior, office-based position supporting existing customers, external sales representatives, and active project opportunities. It is not a cold-calling or outbound lead-generation role.
The successful candidate will take ownership of the day-to-day quotation and sales-support process, ensuring that customers receive accurate information, quotations are followed up properly, and projects move efficiently from initial enquiry through order placement.
Key Responsibilities
Quotations and Technical Sales Support
- Prepare detailed and accurate quotations for commercial and architectural lighting projects.
- Review reflected ceiling plans, luminaire schedules, electrical drawings, specifications, and bills of material.
- Identify appropriate products, quantities, drivers, controls, mounting options, accessories, and project-specific requirements.
- Apply the correct pricing, discounts, customer terms, freight, and project-specific conditions.
- Review quotations for accuracy and completeness before release.
- Manage quotation revisions, addenda, substitutions, and value-engineering requests.
- Respond to customer and sales-representative enquiries regarding products, pricing, applications, lead times, and availability.
- Recommend suitable alternatives when specified products are unavailable or do not meet project requirements.
Project and Order Coordination
- Manage projects from initial quotation through approval, order placement, and internal handover.
- Prepare and coordinate product submittals, cut sheets, IES files, photometric information, shop drawings, samples, and approval documentation.
- Process sales orders accurately and confirm pricing, quantities, configurations, shipping instructions, and required dates.
- Coordinate order releases, production requirements, lead times, backorders, and delivery expectations.
- Work with product, purchasing, warehouse, accounting, and operations teams to resolve project requirements.
- Assist with warranty, RMA, replacement, and project-deficiency coordination when required.
- Maintain organized records of quotations, approvals, revisions, orders, and customer communication.
CRM and Sales Operations
- Maintain complete and accurate customer, quotation, and project information in the CRM and ERP systems.
- Follow up on outstanding quotations and record the project status, expected order date, probability, next action, and responsible sales representative.
- Identify quotations requiring customer follow-up or internal action.
- Prepare weekly reports covering quotation activity, project pipeline, follow-up status, order conversion, and outstanding issues.
- Support management and external sales representatives with account-specific and project-specific reporting.
- Help improve quotation templates, CRM procedures, internal documentation, and sales-support workflows.
- Use AI and other digital tools responsibly to improve research, documentation, reporting, and administrative efficiency.
Customer and Sales Representative Support
- Act as a primary internal contact for customers and external sales representatives.
- Provide clear, professional, and timely communication throughout the quotation and order process.
- Build strong working relationships with designers, contractors, distributors, consultants, and project teams.
- Follow through on commitments and ensure that unresolved issues are properly tracked and escalated.
Required Qualifications
- Minimum two years of experience in architectural lighting with a manufacturer, lighting representative agency, or electrical/lighting distributor.
- Previous experience with lighting quotations, technical inside sales, project coordination, or sales operations.
- Strong understanding of commercial and specification-grade lighting products and terminology.
- Ability to read reflected ceiling plans, luminaire schedules, electrical drawings, and project specifications.
- Experience preparing quotations, submittals, product schedules, and project documentation.
- Strong numerical ability and exceptional attention to detail.
- Experience using CRM, ERP, order-entry, and quotation-management systems.
- Strong proficiency in Microsoft Excel, Word, Outlook, and PDF-markup software.
- Strong organizational skills with the ability to manage multiple active quotations and deadlines.
- Ability to work independently, take ownership, and follow tasks through to completion.
Preferred Qualifications
- Experience with lighting controls, dimming protocols, LED drivers, emergency lighting, or architectural lighting applications.
- Familiarity with IES files, photometric reports, Dialux, or lighting-layout documentation.
- Experience supporting external lighting sales representatives or agent networks.
- Experience using AI tools, automation, or advanced CRM workflows to improve productivity.
The Person We Are Looking For
You are organized, technically curious, and comfortable managing multiple projects at the same time. You understand that preparing a quotation is only the beginning—the quotation must also be followed up, revised when necessary, documented properly, and converted into an accurate order.
You communicate clearly, pay close attention to details, and take responsibility for resolving issues rather than allowing them to remain open. You are also comfortable learning new lighting products, software systems, and workflow tools.
