Overview

We're looking for an organized and proactive Office Administrator / Health & Safety Administrator to join our Corporate Office in Calgary. This is a full-time, permanent opportunity where you'll provide administrative services to the Safety, Operations, HR, and Finance teams while coordinating key aspects of our Health & Safety program. The ideal candidate has experience in a construction company, is highly organized, manages competing priorities effectively, pays close attention to detail, maintains strict confidentiality, and demonstrates professionalism in every interaction. You'll also help foster a positive workplace by promoting CEL's culture, values, and commitment to safety.

Office Administrative responsibilities include but are not limited to:

Provide administrative support to HR, Finance, Operations, and Safety teams.
Assist with invoicing, vendor invoice reconciliation, credit card receipt reconciliation, and other administrative accounting tasks.
Prepare reports, correspondence, forms, presentations, and other business documents.
Coordinate employee onboarding, travel arrangements, expense submissions, and purchase requests.
Assist with internal communications, company meetings, employee events, and logistics such as catering and hotel bookings.
Maintain confidential employee and company records while supporting Finance Operations and HR departments and administrative compliance requirements.
Provide reception support by welcoming visitors, answering phones and emails, managing meeting rooms, and coordinating mail, courier, and shipping services.
Maintain office supplies, equipment, filing systems, and a clean, organized office environment.
Handle sensitive information with discretion and ensure compliance with company policies for privacy, records management, and document retention.
Assist the Calgary Project Manager and Site Supervisors with various project-related duties.

Health & Safety Administrator responsibilities include but are not limited to:

Support the National Safety Manager and branch Safety Coordinators with daily HSE administration across Western Canada.
Assist with maintaining safety programs, policies, documentation, client prequalification platforms (ISN, Avetta, etc.), and regulatory compliance.
Coordinate safety training, orientations, committee meetings, PPE inventory, and monthly HSE reporting.
Support incident investigations, COR audits, and initiatives that promote a strong safety culture.

Ideal candidates will have:

2-3 years of administrative experience.
1-2 years of experience supporting Health & Safety programs, documentation, or administration in a construction setting.
Experience working with safety pre-qualification systems such as ISNetworld (ISN), Avetta, ComplyWorks, Cognibox, or similar contractor compliance platforms is an asset.
Strong organizational, time management, and communication skills, with the ability to manage multiple priorities while maintaining accuracy and confidentiality.
Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfortable preparing reports, presentations, and business correspondence.
Ability to work effectively both independently and as part of a collaborative team.
Experience supporting construction projects or working on construction sites is an asset.
Health & Safety Administration training or certification and/or COR Auditor experience or certification is an asset.
