Administrative Assistant

Full Time Term Position

Northwest 21 LTD is a family owned farm located near Enchant, Alberta.

We are looking for an organized, dependable Administrative Assistant to join our office team. This is a full time term position beginning in mid August 2026 and ending in mid November 2026.

The expected schedule is full time, although some flexibility in work hours may be available. There may also be an opportunity for the position to transition into a permanent full time role.

Working closely with our management team, you will help keep our office organized, our records accurate and our administrative work on track during one of the busiest times of the year.

In This Role, You Will

Enter accounts payable and accounts receivable into QuickBooks Online
Match invoices with supporting documentation
Communicate with suppliers to resolve invoice discrepancies and obtain missing information
Complete bank and credit card reconciliations
Prepare cheques, electronic funds transfers and wire payments for management approval
Prepare invoices for management approval
Scan, file and organize paper and electronic records
Answer phones and greet visitors
Manage incoming and outgoing mail and couriers
Order office supplies
Assist with onboarding paperwork and general office administration
Pick up parts, supplies and mail as needed
Perform light housekeeping to help maintain a clean and organized office
Assist with other administrative duties as required

Qualifications

The ideal candidate will be:

Highly organized with excellent attention to detail
Professional, dependable and trustworthy
Comfortable working independently and taking initiative
Able to manage changing priorities in a busy office
Confident using computers and willing to learn new software
Friendly and professional when working with customers, suppliers and coworkers

Experience with QuickBooks Online, accounts payable, accounts receivable or bank reconciliations is an asset, but we are willing to train the right person.

Applicants must have:

A valid Class 5 driver's licence
Strong computer skills
The ability to maintain confidentiality when handling sensitive information

Our office uses Apple computers, so applicants should be comfortable working in a Mac environment.

Our office is home to three friendly cats, so applicants must be comfortable working around cats and should not have cat allergies.
