About the Role
Transource Freightways is seeking a detail-oriented Administrative Coordinator to support daily home delivery, LTL, customer service, and operational administration functions. This role is responsible for coordinating delivery schedules, maintaining accurate system updates, supporting customer communication, managing documentation, and helping ensure freight moves efficiently through the operation.
Key Responsibilities
- Coordinate home delivery routing using DispatchTrack and communicate daily start times with delivery teams.
- Respond to customer inquiries, ETAs, delivery updates, and service questions by phone and email in a professional and timely manner.
- Call customers across Western Canada to support scheduling, communication, and service follow-up.
- Ensure home delivery returns are properly tagged, documented, and sent back as required.
- Update our software after deliveries are completed to maintain accurate shipment records.
- Manage and follow up on LTL, home delivery, and proof-of-delivery documentation.
- Support special delivery requests and coordinate with internal teams to accommodate customer requirements.
LTL Administration Responsibilities
- Manually create inbound manifests for LTL trailers and ensure shipment information is entered accurately.
- Book delivery and receiving appointments for customers as required.
- Work with customers and the order team to coordinate deliveries and resolve scheduling or documentation issues.
- Update order status, delivery progress, and end dates in Axon to maintain accurate operational visibility.
- Print LTL pickup orders and prepare required paperwork for daily operational use.
- Submit reimbursement forms and ensure supporting information is complete and accurate.
Qualifications
- Previous experience in administration, transportation, logistics, dispatch, customer service, or warehouse operations is preferred.
- Experience using DispatchTrack, Axon, Atlas, or similar transportation management systems is considered an asset.
- Strong computer skills, including email, data entry, spreadsheets, and basic office software.
- Ability to manage multiple priorities in a fast-paced, time-sensitive transportation environment.
- Strong attention to detail with the ability to maintain accurate records, paperwork, and system updates.
- High school diploma or equivalent is preferred; post-secondary education in business, logistics, or administration is an asset.

Working Conditions
This position works primarily in an office and operations environment with regular communication across customers, drivers, warehouse teams, dispatch, and internal departments. The role requires extended periods of computer use, phone communication, paperwork handling, and daily follow-up in a fast-paced logistics setting. Flexibility may be required based on freight volumes, delivery schedules, appointment times, and operational needs.
Pay: $19.00-$21.00 per hour
