Full job description

An established non-profit organization in Hamilton is seeking an Executive Coordinator to support the Chief Executive Officer and Board of Directors on a contract-to-permanent basis. This newly created role is ideal for an experienced executive support professional looking to become a trusted partner to senior leadership during an exciting period of organizational growth and transformation.

Responsibilities:

Provide confidential executive support to the CEO, including complex calendar management, scheduling, and coordinating meetings
Prepare Board and committee agendas, meeting packages, presentations, and governance documentation
Attend Board and committee meetings, record accurate minutes, and track action items
Draft executive correspondence, reports, presentations, and other confidential documents
Coordinate executive projects and assist with strategic initiatives
Manage confidential information with professionalism, discretion, and sound judgment
Liaise with Board members, senior leaders, external stakeholders, and partners
Support policy and procedure administration and maintain organized electronic and physical records
Assist with meeting planning, special events, and basic social media coordination as required

Qualifications:

Ideally 8+ years of experience supporting C-suite executives, executive leadership teams, and/or Boards of Directors
Experience preparing Board packages, governance documents, resolutions, and meeting minutes
Advanced proficiency in Microsoft Office Suite, Microsoft Teams, and SharePoint
Proven ability to manage multiple priorities while maintaining accuracy and confidentiality
Experience in healthcare, seniors' services, or the not-for-profit sector is considered an asset but is not required
