Full job description

Physiomed Yorkdale is seeking a motivated, organized, and enthusiastic Marketing Assistant / Office Administrator to support our marketing initiatives while assisting with the day-to-day administrative operations of the clinic. This casual position is ideal for an individual who is creative, detail-oriented, and enjoys working in a collaborative healthcare environment.

Key ResponsibilitiesMarketing

Assist with the planning and execution of marketing campaigns and promotional activities.
Create, schedule, and manage content for social media platforms and digital marketing channels.
Participate in team meetings, contribute marketing ideas, and support business development initiatives.
Coordinate community outreach events, health promotion activities, and networking opportunities.
Assist with creating marketing materials, including flyers, brochures, newsletters, and digital content.
Monitor social media engagement and assist with online reputation management.
Conduct market research and help identify opportunities to increase patient engagement.
Maintain marketing calendars, databases, and promotional materials.

Office Administration

Greet patients and visitors in a professional and welcoming manner.
Answer telephone calls, emails, and general inquiries.
Schedule, confirm, and manage patient appointments.
Maintain patient records while ensuring confidentiality and privacy.
Process payments, invoices, and receipts as required.
Assist with insurance paperwork and administrative documentation.
Order and maintain office and clinic supplies.
Coordinate with healthcare providers to ensure smooth daily clinic operations.
Support general office organization, filing, scanning, and data entry.
Participate in staff meetings and assist with administrative projects as assigned.
Ensure the reception and waiting areas remain organized and presentable.

Qualifications

Previous experience in marketing, office administration, customer service, or healthcare administration is an asset.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency with Microsoft Office (Word, Excel, Outlook) and social media platforms.
Experience with Canva or other graphic design software is considered an asset.
Ability to work independently and collaboratively within a team.
Professional, reliable, and customer-focused with strong attention to detail.

Work Schedule

Casual position with flexible hours based on clinic needs.
May include occasional evenings and weekends for community events or marketing activities.
