About Us

We are looking for an experienced Immigration Legal Administrative Assistant to join our team. The ideal candidate is organized, detail-oriented, punctual, reliable, and comfortable working in a busy immigration office.

Key Duties and Responsibilities

Communicate with clients in Vietnamese and English to provide file updates, request documents, and follow up on outstanding information
Open and maintain client files, prepare intake instructions, and organize document request lists
Review client documents for accuracy, completeness, consistency, expiry dates, and missing information
Identify potential file concerns, including incorrect information, outdated documents, inconsistencies, or incomplete supporting evidence
Prepare immigration forms, letters, and application materials for review by senior immigration consultants
Draft and revise client correspondence, explanation letters, submission letters, support letters, invitation letters, and other immigration-related documents
Assist with electronic filing, document uploads, and portal administration for Canadian immigration applications under supervision
Monitor important dates, including status expiries, application deadlines, document request deadlines, and follow-up reminders
Maintain accurate file notes and ensure assigned files are organized and ready for review
Assist with scheduling, billing follow-up, client ledgers, and general office administration as required
Handle confidential client information with professionalism, care, and discretion

Skills and Qualifications

Fluent in Vietnamese and English, including reading, writing, and speaking
Exceptional attention to detail, with a strong ability to identify errors, inconsistencies, missing information, and document issues
Strong writing, proofreading, and document preparation skills
Excellent client service and professional communication skills
Strong organizational and time-management skills, with the ability to manage multiple files and deadlines
Ability to work independently, take initiative, problem-solve, and follow instructions carefully
Proficiency with Microsoft Word, Outlook, Excel, Adobe/PDF tools, email, cloud-based filing systems, and online portals
Professional, punctual, reliable, and able to maintain consistent attendance

Immigration Experience Considered an Asset

Experience with visitor visas, study permits, work permits, LMIA applications, sponsorships, Express Entry, provincial nominee programs, restoration applications, permanent residence applications, procedural fairness responses, reconsideration requests, or business immigration files is considered an asset.

Education and Experience

Minimum 3 years of experience in an immigration consulting office, law office, or legal services environment is required.
University degree, law clerk diploma, paralegal diploma.
