Full job description

Role Overview

We’re seeking a highly organized and detail‑driven HR & Payroll Assistant to support the accurate, timely, and compliant processing of payroll for our employees and payment for sub-contractors, while providing essential HR administrative support across the company. This role is central to keeping our staffing operations running smoothly. You’ll work closely with Finance, and Recruitment teams in a fast‑paced, high‑volume environment where precision and deadlines matter.

Payroll Administration

Process payroll for staff and internal employees on biweekly schedules
Process biweekly payments for subcontractors/independent contractors, ensuring accuracy of hours, bill rates, and approved timesheets
Calculate and remit statutory deductions, employer contributions, and ensure all remittances are filed on time
Administer taxable benefits, garnishments, vacation pay, statutory holiday pay, and other payroll adjustments
Prepare year-end filings and slips, and reconcile payroll to the general ledger
Prepare Records of Employment (ROEs) and support payroll-related audits
Reconcile payroll and contractor payment batches and assist with year-end filings, including T4s, T4As, and other statutory slips
Maintain accurate records and respond to employee or subcontractor pay inquiries with professionalism and clarity

HR Support

Assist with new hire onboarding, including document collection, data entry, and system setup
Maintain employee files and ensure compliance with internal policies and legislative requirements
Support recruitment teams with candidate documentation, credential verification, and onboarding coordination
Track and manage employee hours, timesheets, assignment changes, and job placements
Provide general HR administrative support, including reporting, correspondence, and compliance tasks
Respond to payroll and payment inquiries from employees and contractors with professionalism, clarity, and timely follow‑up
Collaborate closely with Recruitment and Finance teams to resolve discrepancies related to hours, billing, assignments, or documentation

Qualifications

Payroll certification (e.g., PCP/CPM designation)
3+ years of hands‑on payroll experience, ideally in a staffing, agency, or high‑volume environment handling both employee payroll and subcontractor/independent contractor payments
Strong knowledge of Canadian payroll legislation, statutory deductions, employment standards, and basic contractor compliance requirements
Proficiency with payroll software and intermediate‑to‑advanced Excel skills for reporting, reconciliation, and data validation
Demonstrated accuracy and exceptional attention to detail when processing payroll, verifying timesheets, and maintaining HR records
High level of discretion and professionalism when handling confidential employee and contractor information
Ability to communicate clearly and professionally with employees, subcontractors, and internal teams
Fluency in Cantonese and/or Mandarin to support communication with subcontractors and candidates
Ability to work under tight deadlines, manage competing priorities, and operate effectively in a fast‑paced staffing environment
Strong administrative and organizational skills to support onboarding, documentation management, and HR compliance task
General ledger and month-end reconciliation experience

Pay: $20.00-$23.50 per hour

Secondary School (preferred)
