MANAGEMENT ASSISTANT

TEMPORARY (12M)

MISSISSAUGA, ON/HYBRID (BY PEARSON AIRPORT)

The Job!

The Management Assistant provides high-level administrative and operational support to three Directors. This role is critical to keeping leadership organized, informed, and operating efficiently in a fast-paced, hybrid environment. You will:

Review and evaluate office procedures with a focus on innovation, efficiency, and continuous improvement; recommend and implement enhancements as appropriate
Manage schedules and coordinate departmental meetings, special events, and offsites, including logistics, room bookings, invitations, notices, and catering
Prepare meeting materials such as agendas, presentations, and minutes; track and follow up on action items
Provide financial and administrative support, including budgeting assistance, expense tracking, and invoice processing
Prepare and process requisitions, releases, invoice payments, expense reports, and monthly operating expense tracking
Coordinate and support projects across the department, including event planning and contract-related activities
Establish and maintain strong working relationships with internal and external stakeholders
Collaborate closely with the Executive Assistant, receiving direction and providing support on department-wide projects and initiatives
Respond to internal and external requests for assistance, directing inquiries appropriately
Act as a professional ambassador for the department with employees, leaders, vendors, and external partners
Maintain departmental records using SharePoint and other records retention systems in accordance with company policy

What you bring to the job

You are someone with strong organizational, time-management, and prioritization skills and maintain a high level of discretion and professionalism with confidential information. You also come with:

Completion of secondary school, or an equivalent combination of education and relevant experience
Minimum of 3 years of office administration experience supporting a senior-level office
Demonstrated experience working in a customer-centric environment
Strong communication, organization, and time-management skills
Ability to obtain and maintain Transportation Security Clearance
