Meadow Group Limited is seeking a highly organized and proactive Operations & Property Manager to oversee property operations, coordinate projects and provide broad administrative support to the ownership group. The role combines hands-on property management, project coordination and business administration in a varied, independent position with meaningful responsibility.
This is a fully remote position. The successful candidate will work primarily from home while travelling throughout Windsor-Essex as needed to visit properties, meet tenants and contractors, oversee projects and attend occasional in-person meetings with the ownership group.
Primary Areas of Responsibility
· Property Management - overseeing the day-to-day operation, maintenance and service requirements of the property portfolio.
· Project Management - coordinating renovations, capital improvements, repairs and other ownership initiatives from planning through completion.
· Business Administration & Executive Support - maintaining organized information, preparing updates and supporting the ownership group with operational priorities.
Property Management (50%)
· Act as a primary contact for tenant, contractor and property-related matters.
· Coordinate maintenance requests, repairs, inspections and preventative maintenance programs.
· Conduct property visits to assess needs, monitor conditions and verify completed work.
· Develop and maintain strong working relationships with tenants, contractors, trades and service providers.
· Obtain and evaluate quotations, clarify scopes of work and provide recommendations to ownership.
· Coordinate utilities, security, landscaping, snow removal, cleaning and other recurring property services.
· Maintain organized property files, service agreements, warranties, access information and operational records.
· Identify property risks, service gaps and opportunities for cost-effective improvements.
· Provide regular updates to ownership on open issues, priorities, costs and recommended actions.
Project Management (25%)
· Plan and coordinate renovations, repairs, tenant improvements, capital projects and other operational initiatives.
· Develop project scopes, timelines, action plans and tracking tools.
· Coordinate contractors, consultants, suppliers, tenants and internal stakeholders.
· Obtain quotations and support the evaluation and selection of vendors.
· Monitor schedules, budgets, deliverables, risks and changes in scope.
· Conduct site visits and document project progress, decisions and outstanding items.
· Escalate issues promptly and provide practical recommendations to the ownership group.
· Support project close-out, including completion confirmation, deficiency follow-up and organization of final documentation.
Business Administration & Executive Support (25%)
· Prepare reports, status updates, meeting materials and follow-up documentation for the ownership group.
· Track priorities, deadlines, commitments and action items across properties and projects.
· Coordinate meetings, service appointments and other operational activities.
· Maintain well-organized digital records, contracts, property information and project files.
· Assist with research, information gathering and special initiatives.
· Support the development of practical systems, procedures and tracking tools to improve organization and follow-through.
· Handle sensitive business and property information with professionalism and discretion.
Qualifications
· Several years of relevant experience in property management, commercial real estate, project management, facilities, construction coordination, operations or senior administration.
· Demonstrated ability to coordinate contractors, vendors, projects and competing priorities.
· Strong written and verbal communication skills and the ability to build effective relationships.
· Excellent organization, follow-up and attention to detail.
· Independent judgment, initiative and a solutions-oriented approach.
· Comfort working directly with business owners in an entrepreneurial environment.
· Proficiency with Microsoft Office and comfort using shared documents, cloud-based files and project tracking tools.
· Valid Ontario driver's license, reliable transportation and the ability to travel throughout Windsor-Essex.
· A college or university credential in project management, property management, business, construction, facilities or a related field is an asset but is not mandatory.
· Professional property, facilities, project management or real estate credentials are considered assets.
