We are seeking a highly capable Communications & Experience Assistant to support the written, visual, cultural, and experiential consistency of Blüm across our campuses.
About the Role
This is a dynamic, highly varied position for someone who is an excellent writer, a thoughtful organizer, and naturally attentive to tone, presentation, and detail.
The Communications & Experience Assistant works directly with Blüm’s Founders and senior leadership team to turn ideas, notes, and upcoming priorities into polished communications, organized materials, thoughtfully executed events, and complete family, team, and candidate experiences.
One day may involve refining a family communication, coordinating candidate interviews, preparing an event timeline, updating a presentation, reviewing a guide, organizing photographs, or creating a beautifully presented campus resource.
The successful candidate will listen carefully, understand nuance, ask thoughtful questions, and become increasingly independent as they learn Blüm’s voice, systems, and standards. They will be a naturally well written individual who loves the details on an invite as much as setting the buffet table at an event. This role offers meaningful exposure to communications, recruitment, employer brand, events, publications, leadership, and organizational growth.
What You Will Do
Communications
- Draft, edit, proofread, and format family-facing and team-facing communications.
- Review written materials for tone, clarity, accuracy, grammar, and professionalism.
- Assist with communications relating to admissions, campus updates, family questions, team announcements, events, and organizational changes.
- Help maintain Blüm’s written voice across emails, presentations, guides, signage, website copy, and printed materials.
- Prepare communications for Discovery Sessions, family meetings, campus events, admissions periods, and important Academy moments.
- Review My Day and Daily Reports for completeness and alignment with Blüm’s communication standards.
- Maintain and update shared language, templates, and communication resources.
Candidate Experience and Recruitment Coordination
- Support the posting and presentation of employment opportunities.
- Review applications and organize candidate information for leadership consideration.
- Coordinate interviews, reminders, schedules, documents, and follow-up communication.
- Help ensure candidates receive a timely, warm, polished, and highly organized experience.
- Prepare interview packages, scorecards, candidate summaries, reference materials, and leadership notes.
- Support communication with candidates throughout the interview and onboarding process.
- Assist with onboarding presentations, welcome materials, training schedules, and first-week plans.
- Maintain confidential and organized recruitment records.
- Identify opportunities to strengthen recruitment communication, candidate follow-through, and the new-team-member experience.
- Support employer-brand initiatives that communicate what makes working at Blüm distinct.
Publications and Brand Materials
- Assist with the development of Blüm’s Yearbook, In Blüm Magazine, annual Blüm Family + Team Guide, written features, and printed materials.
- Coordinate written submissions, photographs, deadlines, approvals, and content organization.
- Update onboarding presentations, PD Day presentations, admissions materials, training decks, and Discovery Session materials.
- Create and maintain templates, signage, forms, printables, visual tools, and campus resources.
- Review materials for wording, formatting, spacing, visual consistency, and overall presentation.
- Maintain organized archives of Canva files, photographs, publications, templates, copy, and brand assets.
- Assist with website copy and content updates.
- Ensure campuses are using the most current versions of guides, templates, and materials.
Events and Recognition
- Take charge of seasonal celebrations, campus events, family appreciation moments, team recognition initiatives, and major annual events.
- Develop event timelines, supply lists, run sheets, invitations, communications, and setup plans.
- Coordinate with venues, photographers, caterers, printers, suppliers, and other external partners.
- Support gifting, signage, menus, printed pieces, décor, photography, and experience details.
- Attend and support event setup, execution, and post-event organization.
- Assist with Blümversaries, birthdays, professional milestones, team lunches, and campus-wide acknowledgements.
- Help ensure each event feels calm, organized, elevated, and distinctly Blüm.
Brand Experience and Storytelling
- Support consistency across Blüm’s communications, campus materials, publications, events, and family-facing experiences.
- Participate in campus environment reviews and identify opportunities to improve signage, displays, lobby presentation, organization, and visual details.
- Assist with lobby styling, seasonal presentation, and welcome materials.
- Coordinate photography, video content, virtual tours, and visual storytelling projects.
- Organize construction photographs, founder images, campus milestones, and historical materials for future storytelling.
- Assist with public-facing stories that communicate Blüm’s growth, pedagogy, standards, people, and identity.
- Support brand partnerships and community initiatives through organized communication, materials, and follow-through.
Leadership and Project Support
- Assist with leadership meeting materials, training decks, internal guides, templates, and communication tools.
- Turn leadership notes and rough direction into organized first drafts, presentations, talking points, and follow-up documents.
- Prepare materials in advance of meetings, interviews, events, training sessions, and family-facing initiatives.
- Take clear notes and convert discussions into organized action items and timelines.
- Maintain strong version control across communication, recruitment, event, publication, and brand materials.
- Track recurring projects and upcoming deadlines so important work is prepared before it becomes urgent.
- Maintain confidentiality and exercise sound judgment when working with sensitive family, candidate, team, leadership, or institutional information.

Qualifications
- Exceptional written English, including grammar, spelling, editing, and professional correspondence.
- Strong organizational and project-tracking skills.
- Excellent attention to detail.
- Strong judgment and discretion.
- An eye for polished, thoughtful visual presentation.
- Confidence using Canva, Google Workspace, Microsoft Office, or similar platforms.
- Ability to learn new systems, templates, and processes quickly.
- Ability to work independently while remaining responsive to leadership direction.
- Ability to receive direct feedback and apply it consistently.
- Strong interpersonal communication skills.
- Ability to travel between Blüm’s Calgary campuses as required.
- Experience in communications, recruitment, people operations, events, hospitality, administration, education, marketing, publishing, or a related field is considered an asset.
- Photography, videography, copywriting, graphic design, social media, or event coordination experience is considered an asset.
