About Us

Your Counselling Ltd. is a compassionate, client-centred counselling practice. With offices in Calgary, Alberta, and Dartmouth, Nova Scotia, we are expanding our administrative and client support team.

Dedicated to supporting individuals, couples, and families on their journey toward mental wellness. Our warm and professional environment is built on trust, confidentiality, and care — and we are looking for a Administrative Assistant/Client Services Coordinator who embodies those same values.

About the Role

As a Casual Administrative Assistant/Client Services Coordinator, you will be the first point of contact for clients contacting a practice from across the country. This is a casual position, ideal for someone who is flexible, empathetic, and thrives in a calm yet purposeful setting. Hours will vary based on operational needs, with potential for increased availability over time. Primary hours for this role will be mornings and weekends.

Key Responsibilities

Answer phone calls, respond to emails, and manage appointment scheduling
Maintain and update client records with accuracy and strict confidentiality
Process payments and handle basic billing inquiries
Coordinate with counsellors to ensure smooth daily operations
Assist with general administrative tasks as needed

What We're Looking For

Prior experience in a receptionist, administrative, or customer-facing role
Exceptional interpersonal skills and a calm, non-judgmental demeanour
Strong organizational skills with keen attention to detail
Ability to handle sensitive information with full discretion
Comfortable working in a mental health or healthcare environment
Proficiency with scheduling software, Microsoft Office, or similar tools
Flexibility to work varying shifts, including evenings or Saturdays

Assets (Nice to Have)

Experience working in a counselling, psychology, or healthcare setting
Familiarity with Jane App or similar practice management software
Knowledge of insurance billing processes
Bilingual or multilingual abilities
