· Maintain strong attention to detail while managing competing priorities, tight deadlines, and sensitive information.
· Serve as the subject-matter expert and primary owner of payroll, providing guidance and support to employees, HR, Finance, and leadership as required.

Overview

Manatokan Oilfield Services Inc. is currently seeking an experienced Senior Payroll Specialist to join our Finance team. This is a key role responsible for the accurate, timely, and compliant administration of payroll across two payroll accounts and multiple Canadian jurisdictions.

The Senior Payroll Specialist will oversee bi-weekly payroll for approximately 250 employees across Canada, supporting both Manatokan Oilfield Services Inc. in Alberta and ASCO in Newfoundland and New Brunswick. This position requires a high level of accuracy, confidentiality, organization, and initiative, with the ability to independently manage competing priorities and payroll deadlines.

Reporting directly to the Director of Finance, the successful candidate will take ownership of the payroll function and operate with a high degree of independence, ensuring payroll is processed accurately and efficiently while maintaining compliance with all applicable federal and provincial requirements.

Duties

Own the end-to-end payroll process, ensuring payroll is accurate, timely, efficient, and compliant with applicable federal and provincial legislation, company policies, and collective agreements where applicable.
Review and validate salaried attendance, timesheets, travel allowances, payroll adjustments, and other payroll inputs to ensure completeness and accuracy prior to processing.
Prepare and maintain payroll input files and ensure accurate and timely data entry into the payroll system.
Process special payments, retroactive adjustments, bonuses, allowances, deductions, and terminations, ensuring appropriate approvals and supporting documentation are obtained.
Review, reconcile, balance, and submit payroll for final approval, ensuring all required supporting documentation and audit controls are in place.
Complete post-payroll processing and maintenance, including payroll reconciliations and resolving discrepancies.
Perform monthly benefits reconciliations, identifying and correcting discrepancies between payroll, benefit providers, and internal records.
Maintain a critical payroll dates and compliance calendar, ensuring all payroll, remittance, reporting, and year-end deadlines are met.
Conduct regular audits and reconciliations to verify the accuracy and integrity of payroll and related reporting.
Calculate and remit all required payroll withholdings and statutory deductions, including CPP, EI, federal and provincial income tax, RRSP contributions, group benefits, and other applicable remittances.
Ensure payroll processes and practices remain compliant with CRA requirements, employment standards legislation, and applicable provincial regulations.
Prepare and validate internal and external payroll reports, providing accurate and timely information to leadership and other stakeholders.
Develop and provide ad-hoc payroll reports and analysis to support business and leadership requirements.
Lead the preparation, reconciliation, and distribution of year-end tax documents, including T4s and other applicable reporting.
Support and coordinate year-end payroll audits, providing documentation, reconciliations, and responses to auditor inquiries.
Serve as a key point of contact for employee payroll inquiries, investigating issues and providing timely, professional, and confidential resolutions.
Identify opportunities to improve payroll processes, controls, reporting, and efficiencies, while maintaining a high level of accuracy and confidentiality.
Maintain strict confidentiality and security of payroll and employee information at all times.
Partner with HR, Finance, Benefits, Operations, and other stakeholders to ensure payroll information is accurate, aligned, and processed efficiently.

Qualifications

Minimum 8-10 years' experience in Payroll with similar role and scope

This is a Monday to Friday position based in our Calgary, Alberta location. Travel to sites in the Athabasca and Lakeland regions is required as well as infrequent travel to our East Coast Operations.
