Administrative Assistant – Legal Office

Location: Pickering, Ontario Position Type: Full-Time, On-SiteFortelex Legal Professional Corporation is seeking a highly organized, reliable, and technology-savvy Administrative Assistant to join our team. This is an on-site position within the Durham Region and is ideal for someone detail-oriented, professional, and able to manage multiple priorities in a busy legal office environment.

Key Responsibilities

Provide general administrative and clerical support to the lawyer and legal team.
Manage calendars, appointments, meetings, and scheduling.
Monitor and organize emails and correspondence.
Prepare, format, edit, scan, merge, and organize documents and PDF files.
Assist with the preparation and organization of client files and legal documents.
Maintain accurate electronic and physical filing systems.
Perform data entry and maintain client and administrative records.
Assist with client communications and general inquiries.
Coordinate meetings and follow up on administrative tasks and deadlines.
Support the day-to-day operations of the law office.
Perform other administrative duties as required.

Required Qualifications and Skills

Previous experience in an administrative assistant, office assistant, receptionist, or similar role.
Excellent organizational and time-management skills and strong attention to detail and accuracy.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and prioritize work effectively.
Strong computer skills and demonstrated ability to learn new technology quickly.
Proficiency with Google Workspace, including Gmail, Google Drive, Google Docs, Google Sheets, and Google Calendar.
Proficiency with Adobe Acrobat and working with PDF documents.
Experience with calendar and appointment management.
Ability to work independently while also functioning effectively as part of a team.
Professionalism, discretion, and the ability to handle confidential information.

Nice to Have

Previous experience working in a law firm or professional services environment.
Experience with legal practice management software.
Familiarity with legal terminology and document management.
Experience managing electronic client files and administrative workflows.
