Job Overview

We are seeking a dynamic and organized Front Office Executive to be the welcoming face of our organization. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally
Handle all incoming and outgoing correspondence, including emails, faxes, and mail distribution
Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office
Perform data entry tasks accurately using software such as QuickBooks and other office management tools
Support administrative functions including appointment scheduling, calendar management, and document proofreading
Assist with basic bookkeeping tasks and manage office supplies inventory to ensure smooth daily operations

Requirements

Proven clerical experience in a front desk or administrative role.
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook)
Excellent organizational skills with keen attention to detail and accuracy in typing and proofreading
Exceptional customer service skills combined with professional phone etiquette for handling inquiries via multi-line phone systems
Ability to manage multiple tasks efficiently while maintaining a positive attitude under pressure
Demonstrated ability to handle confidential information discreetly and responsible
postages and deliveries schedule.
