Full job description

Administrative Assistant and Bookkeeper

Oughtred Coffee & Tea is a family owned, B.C. business celebrating 53 years of dedication to the specialty coffee industry. We are currently seeking an organized, detail-oriented, motivated and hardworking person keen to join a dynamic company. This is a full time position in our Delta Office.

This multifaceted role requires a proactive individual to perform some AR/AP and exceptional customer service. To act as an important interface between Oughtred Coffee & Tea and our customers. The successful candidate requires to have excellent office management skills, proficient with various software and ability to multi-task effectively in a fast-paced environment.

Responsibilities and duties:

Respond to customer inquiries and provide support through email, phone, and in-person interactions, ensuring excellent service standards
Greet visitors and manage front office responsibilities with professionalism and courtesy
Take orders and enter them in the system
Review sales orders, including orders that come through the B2B website and online stores with attention to details
Receive and dispatch service requests to technicians and update service call board
Process and post payment to customer’s account
Maintain customer record and profile to ensure for accuracy and up to date
Perform administrative and office support activities for multiple members of our team
Handle billing, invoicing, and bookkeeping tasks with attention to detail
Perform data entry for AR/AP, filing and maintain accurate record using the system provided by the company
Assist with ship outs and preparing orders when required
Maintain a clean, organized reception area to promote a welcoming environment

We require an individual with a positive attitude, good communication skills, organizational skills, advanced computer skills in the Microsoft Office, and basic accounting knowledge. Candidate must be self-motivated, and have the ability work independently, as well as a member of our team.

Qualifications and skills:

Experience in office administration, clerical work and some accounting knowledge
Proficient in Microsoft Excel, Word, Outlook and different data entry tools
Ability to work effectively in a close interdependent team environment
High regard for accuracy and attention to detail in a fast-paced environment
Excellent customer service skills with a friendly demeanor and effective communication skills
Strong work ethic, self-motivated and resourceful
Ability to handle high pressure situations
Effective at handling varied roles and responsibilities, changing priorities while maintaining deadlines
Good judgment and problem-solving skills
At least one year of experience in an office environment

After six months of successful employment, employee will be eligible to enrol to company extended health benefit program and two weeks paid vacation after completion of one-year full employment.
