Accounts Receivable Administrator
The Role
Reporting to the Finance Manager, the Accounts Receivable Administrator is responsible for accounts receivable, trade analysis and general accounting duties. Responsibilities also include analyzing trends, maintain and control the general ledger accounts and business transactions of the organization, applying the Generally Accepted Accounting Principles (GAAP). The Accounts Receivable Administrator is responsible for deduction management, posting and verifying all accounts receivable payments that come into the company and resolving all discrepancies. This position is also responsible for key activities such as Month-End for accounts receivable entries. You will require great organization, communication and analytical skills to excel in this role, and a knack for numbers.
KEY DELIVERABLES:
Accounts Receivable and Trade Analysis (70% of Role)
· Lead meetings for AR management, including trade analysis, customer aging and customer issues
· Collects all accounts receivable open items to improve cash flow and manages existing Customer relationships to ensure accounts are maintained within credit terms
· Deduction Management – billbacks, promo claims, trade spend, returns & allowances in customer portals. Documents arrive in pieces, spread across PDF’s, EDI files and retailer systems.
- Verifies all customer deductions to protect operating income and minimize bad debt
- Responsible for the timely, accurate, approved entry and maintenance of all deductions in ERP system
- Obtain approval and backup from the sales team for trade deductions submitted by customers. This includes, but is not limited to, reviewing all backup details, contacting sales manager/broker for additional content when needed
- Thoroughly research, analyze, and processing of payment and deduction claims in accordance with the terms of the agreement, departmental processes, systems, and audit requirements
- Manage the invalid deduction process from start to finish including escalation, when appropriate, to Finance Manager, Sales and BDD. Leads meetings and process
- Research and analyze current and historical financial data for account reconciliations, identifying trends, and determining root cause analysis to drive issue resolution
- Complete quarterly trade spend analysis/trends and recommendations
- Analyzing and interpreting claims data to identify key insights and trends
- Work with the customer to ensure accurate billing. In the event an invoice is inaccurate, claims are required to be submitted
- Manage customer portals and customer files
- Manage credit limits and ensure adherence to the company’s credit policies
General Accounting (30% of Role)
· Month-end process, creating accruals and journal entries for all AR related activities
· Analyze AR financial information and summarise financial status at month-end
· Review and enter employees forecasts on monthly basis
· Prepare monthly forecast and product financial statements according to schedule
· Support internal and external audits to ensure compliance
· Complete month-end and year-end close process for accounts receivable
· Assist with annual budget submissions and upload into ERP system
· Update job related SOP’s and working instructions as required to maintain and strengthen internal controls
· Manage Fixed Asset system
SKILLS AND QUALIFICATIONS:
- College/University degree in accounting
- Minimum of 2 years of Accounts Receivable experience in SAGE 300
- Experience with CPG industry (dealing with customers such as Loblaws and Walmart)
- Strong working knowledge of Microsoft office (proficient excel is required)
- Strong analytical, critical thinking skills and problem-solving skills
- Excellent organizational and time management skills
- Resolve issues and fixing the root cause
- Must be professional in all communications both verbal and written within and outside the company
- Requires meticulous attention to detail and the ability to deal with changing requirements and priorities
Compensation:
Maternity Leave until April 2027
4 days a week in-office location, 1 day work from home
Office Hours: 8:30 a.m. – 4:30 p.m.
$30/hour
Pay: $30.00 per hour
