Summary

Kacaba's role as a Bookkeeper is vital in maintaining accurate financial records and supporting our winery's operational excellence. Based in Vineland, this position offers an exciting opportunity to contribute to a prestigious vineyard with a rich history and a commitment to sustainability.

Responsibilities

Manage day-to-day bookkeeping tasks using accounting software such as QuickBooks and Microsoft Office including Excel.
Reconcile bank statements and accounts receivable/payable.
Prepare financial reports and assist with budget analysis.
Ensure compliance with financial regulations and company policies.
Support gratuities processing.
Collaborate with the finance team to improve accounting processes.
Maintain organized financial records for audit readiness.

Qualifications

Proven experience in bookkeeping or accounting roles.
Proficiency in software including QuickBooks, Microsoft Word and Excel.
Strong understanding of accounts payable/receivable and bank reconciliations.
Excellent attention to detail and organizational skills.
Ability to analyze financial data and prepare reports.
Knowledge of payroll processing is a plus.
Prior experience in the wine or hospitality industry is advantageous.

Duties

Receive & sort incoming mail (Canada Post)
Check and sort accounting related emails
Accounts Payable duties - Print and file invoices sent by email.
Accounts Payable duties - Login to vendor accounts / download online invoices including UPS and CP
Accounts Receivable -Prepare requested invoices, statements and accounts receivable reports.
Accounts Receivable -Add new customers to QuickBooks
Accounts Receivable -Apply payments to QuickBooks / save

Filing Daily work including:

Downloading online (Shopify, Tock)
Transactions - Posting transactions in Point of Sale (retail software)
Review Virtual Terminal Transactions

Verify / correct wine reports

Bi-Weekly verify gratuity account (GL) matches submitted requisition of payout
Monthly Reconciliation of wine club sales, online sales, merchant bank accounts, Credit Card General ledger, promotional / spoilage wines tracking, and warehouse transfers / inventory.
Monthly Reconciliation of tour company visits – prepare accounts receivable invoices accordingly.
Monthly input inventory count into spreadsheets – save in various locations – reconcile to QuickBooks, investigate for / correct differences
Monthly post monthly Sales (retail, wine club, and other taxable sales)
Quarterly post Petty Cash Expenses and Reconcile
Annually - December, prepare file folders for next year’s filing, package boxes to store
Random, as needed - conduct physical bank deposits, make change for retail POS
