In-Person | Eight Branches College of Eastern Medicine
15–30 hours/week | 4–5 shifts/week
$18-19/hour + wellness perks

At Eight Branches College of Eastern Medicine, we are seeking a friendly, organized, and detail-oriented Front Desk Administrator to join our team. This role is ideal for someone who enjoys working in a fast-paced environment, providing excellent customer service, and supporting both patients and practitioners.

As the first point of contact for patients, students, and visitors, you will play a key role in ensuring smooth daily operations across our Teaching and Professional Clinics

Job responsibilities:

Customer Experience

Welcome every visitor with a professional appearance.
Keep communication friendly, helpful, and focused on solutions.
Manage the daily schedule and make sure patients move smoothly through the clinic.
Answer incoming phone calls and email inquiries.
Provide information about clinic services, treatments, and pricing to patients and visitors.

Daily Operations

Manage appointment schedules across multiple clinics.
Send appointment reminders and manage payment deadlines.
Work with consultants on bookings, follow-ups, and invoicing.
Conduct routine clinic walkthroughs to ensure treatment rooms, waiting areas, and common spaces remain clean and organized.
Maintain adequate linen and supply inventory to support daily clinic operations.

Clinic Support

Check patients in and ensure required intake forms and patient documentation are complete.
Review phone messages, emails, and other communication, and notify physicians when needed.
Share patient information with practitioners while maintaining patient confidentiality.
Assist with other administrative tasks as assigned.
Make sure all treatment rooms are clean and maintain a pleasant environment at all times.

Qualifications

Previous reception, administrative, customer service, or healthcare experience preferred.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Comfortable learning new software and scheduling systems.
Ability to work independently and as part of a team.
