Full job description

The Mentoring Coordinator leads the coordination and delivery of the agency's mentoring programs in accordance with the National Standards established by Big Brothers Big Sisters of Canada.

The position oversees program operations, case management, volunteer engagement, and quality assurance to support safe, inclusive, and meaningful mentoring relationshipsfor children and youth.

Working collaboratively with the Executive Director, the Mentoring Coordinator provides guidance and support to mentoring staff, practicum students, and volunteers as assigned.

The role is one of providing strengths-based service delivery while contributing to the organization's strategic priorities and commitment to continuous improvement.

Qualifications

In accordance with Big Brothers Big Sisters of Canada’s national Child Safety standards, all Service Delivery staff must “have specific training in understanding human growth and development, appropriate interpersonal skills, child safety training, and volunteer program management.” For this position, this training shall include post-secondary in education, human/ social services, psychology, and/or family sciences with the minimum two-year diploma in related fields. Preference will be given to candidates who possess a Bachelor’s degree in fields listed above.
Experience in case management, child and youth services, community development, or skills attained within a related human services environment.
Experience coordinating programs, projects, or teams is considered an asset.

Experience working collaboratively with children, youth, families, volunteers, community partners, and multidisciplinary teams.
Commitment to equity, diversity, inclusion, accessibility, reconciliation, and anti-oppressive practice.
Knowledge of trauma-informed, strengths-based, and culturally responsive approaches to service delivery.
Sound judgment when working with confidential and sensitive information.
Proficiency with Microsoft Office and electronic client management databases or the ability to learn new technology.
Flexibility to work occasional evenings and weekends.
The ability to travel within the service area as required. Access to reliable transportation is considered an asset where travel is an essential component of the role

Key Responsibilities

Program Leadership

Coordinate the delivery of mentoring programs in accordance with agency policies, National Standards, and child safety requirements.
Provide day-to-day guidance, coaching, and support to mentoring staff, practicum students, and volunteers as assigned.
Support staff onboarding, training, professional development, and continuous learning.
Promote consistent, high-quality, and equitable service delivery across programs.
Identify opportunities to improve policies, procedures, and participant outcomes.
Support the Executive Director in achieving strategic and operational objectives.

Program and Case Management

Oversee the intake, assessment, screening, matching, monitoring, and closure processes for mentoring relationships.
Support staff in managing complex situations using collaborative, solution-focused approaches.
Ensure accurate, timely, and confidential case documentation in accordance with organizational policies and National Standards.
Monitor mentoring relationships to promote participant safety, positive outcomes, and program quality.
Facilitate referrals to community resources when appropriate.
Support quality assurance and risk management processes.

Volunteer Engagement

Coordinate volunteer recruitment, screening, orientation, training, and ongoing support.
Foster positive volunteer engagement, recognition, and retention.
Ensure volunteers receive required child safety education and ongoing learning opportunities.
Address volunteer concerns in a respectful, collaborative, and timely manner.

Community Engagement

Develop and maintain collaborative relationships with schools, Indigenous communities, community organizations, youth-serving agencies, and other partners.
Represent the organization at meetings, events, and community initiatives.
Support inclusive outreach strategies that increase access to mentoring programs.

Administration and Reporting

Coordinate workload distribution and support effective program operations.
Monitor program outcomes and prepare reports for the Executive Director and other stakeholders as required.
Support program evaluation, continuous improvement, accreditation, and compliance activities.
Ensure compliance with applicable privacy legislation and organizational policies.

Organizational Responsibilities

Foster an inclusive, respectful, collaborative, and safe workplace.
Participate in staff meetings, committees, and professional development opportunities.
Contribute to organizational planning and continuous improvement initiatives.
Model the mission, vision, and values of Big Brothers Big Sisters of North Simcoe.
Perform other related duties as assigned.

Working Relationships

Internal

Collaborates with the Executive Director, mentoring staff, administrative staff, practicum students, fundraising staff, and Board committees as appropriate.

External

Builds respectful and collaborative relationships with children, youth, caregivers, volunteers, schools, community organizations, Indigenous partners, funders, and other stakeholders.
