Full job description

Position Summary

The Administrative Clerk / Receptionist provides administrative support to the office while serving as the first point of contact for customers, visitors, and staff. This role is responsible for reviewing and distributing Customer QC packages, managing incoming communications, supporting the sales team with order entry and billing and assisting with various administrative functions to ensure efficient office operations.

Key Responsibilities

Reception & Customer Service

· Greet customers, visitors, and vendors in a professional and courteous manner.

· Answer incoming telephone calls and direct them to the appropriate department or individual.

· Take and relay messages accurately and promptly.

· Respond to general customer inquiries and provide assistance as required.

QC Document Packages Administration

· Review QC documents for completeness and accuracy.

· Maintain organized electronic and physical MTR records.

· Process customer requests for QC packages and distribute documentation in a timely manner.

· Coordinate with internal departments to obtain necessary documentation when required.

Sales Support

· Assist the sales team by entering intercompany purchase orders into the ERP system as sales orders.

· Verify order information for accuracy and completeness before processing.

· Support sales staff with administrative tasks, document preparation, invoicing and order-related inquiries.

· Maintain accurate records of orders and customer documentation.

Administrative Support

· Perform data entry and maintain office records and filing systems.

· Prepare, scan, copy, and distribute documents as required.

· Assist with mail distribution, courier shipments, and office correspondence.

· Maintain office supplies and coordinate replenishment as needed.

· Support various departments with administrative duties and special projects.

· Perform other related administrative tasks as assigned.

Qualifications

Education & Experience

· High school diploma or equivalent required.

· Previous administrative, clerical, customer service, or reception experience preferred.

· Experience with ERP systems and order entry is considered an asset.

Skills & Abilities

· Strong organizational and time management skills.

· Excellent verbal and written communication skills.

· High attention to detail and accuracy.

· Proficient in Microsoft Office Suite (Outlook, Word, Excel).

· Ability to handle multiple tasks and prioritize effectively.

· Professional and courteous customer service skills.

· Ability to work independently and as part of a team.
