We are a dynamic Vancouver real estate brokerage seeking a highly organized and proactive Office Administrator to support the day-to-day operations of our office. This position is integral to keeping our business running smoothly, ensuring that administrative systems, processes, and team support functions are executed with efficiency and professionalism.

As the operational backbone of the office, you will help create a productive, organized, and welcoming environment for both our team and clients. The ideal candidate thrives in a fast-paced setting, has exceptional attention to detail, and enjoys balancing multiple priorities while keeping everything on track.

This is a full-time, Monday-to-Friday opportunity offering consistent hours, extended health benefits, and the chance to play a vital role within a collaborative and high-performing real estate team.

Compensation:

$58,000+ yearly DOE

Responsibilities:

Greet and assist clients, visitors, and callers, delivering a professional, welcoming experience while directing inquiries to the appropriate team members.
Coordinate all incoming and outgoing mail, courier services, and deliveries, ensuring accurate and timely processing.
Prepare, draft, and respond to routine correspondence, administrative requests, and day-to-day communications.
Maintain a clean, organized, and professional office environment, including reception areas, boardrooms, kitchens, and shared workspaces.
Monitor office equipment, including printers and copiers, replenish supplies as needed, and troubleshoot basic operational issues.
Manage office and kitchen inventory, coordinating the ordering, receipt, and distribution of supplies.
Prepare and organize materials for meetings, training sessions, presentations, and brokerage initiatives.
Support the onboarding and offboarding of sales associates, ensuring a smooth and professional transition experience.
Accurately enter, update, and maintain listing and contract information within Real Estate Board systems.
Serve as the primary liaison for building maintenance requests, vendor relationships, and meeting room coordination.
Provide administrative support to the Office Manager, Managing Brokers, and Brokerage Owners as required.
Assist with the creation, formatting, and distribution of internal communications, presentations, and marketing materials.

Exceptional attention to detail, with a proven ability to produce accurate, high-quality work while meeting deadlines and maintaining consistency.
Strong organizational and time-management skills, with the ability to manage multiple priorities and adapt to changing demands in a fast-paced environment.
A collaborative team player who enjoys contributing to a positive workplace culture and is willing to support the team wherever needed, regardless of task size.
Proactive, resourceful, and solutions-oriented, with a genuine commitment to enhancing client experiences, improving operational efficiency, and refining internal processes.
Outstanding verbal and written communication skills, with the professionalism and interpersonal abilities required to build strong relationships with clients, agents, and colleagues.
Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, along with strong computer literacy and confidence learning new technology platforms.
