Office & Operations Assistant

Paradise Dock & Lift Inc.
Location: Vernon, BC
Job Type: Full-time, Permanent

Paradise Dock & Lift Inc. is seeking a dependable, organized, and adaptable Office & Operations Assistant to join our team in Vernon, BC.

This is a versatile position with a primary focus on office administration and customer communication. The successful candidate will answer incoming calls, maintain accurate call records, order office supplies, keep the office clean and organized, and assist with a variety of day-to-day administrative and light production tasks.

This role is well suited to someone who enjoys variety, takes initiative, and is comfortable helping wherever needed.

Responsibilities

Reception and Customer Communication

Answer incoming telephone calls in a professional and friendly manner
Determine the purpose of each call and direct it to the appropriate employee
Maintain a clear and accurate call log
Record customer names, contact information, questions, and required follow-up
Take detailed messages and ensure they are passed along promptly
Assist customers with basic questions when appropriate
Greet customers, suppliers, and other visitors to the office
Help ensure customer inquiries are followed up on in a timely manner

Office Administration

Order and maintain office, kitchen, and cleaning supplies
Monitor inventory levels and restock commonly used items
Assist with filing, scanning, printing, data entry, and document organization
Help prepare labels, forms, manuals, packages, and other business documents
Organize incoming mail, deliveries, and courier shipments
Assist with basic recordkeeping and administrative tasks
Support office staff with various projects and daily responsibilities
Maintain confidentiality when handling customer, employee, and company information

Office Organization

Keep reception, office, meeting, kitchen, and common areas clean and organized
Ensure office supplies and shared materials are stored properly
Help maintain an orderly and professional workplace
Identify items that need to be cleaned, repaired, replenished, or reorganized
Assist with recycling, garbage removal, and general office tidiness

Hardware Kits and Production Support

Assemble and package hardware kits for docks and boat lifts
Count and organize bolts, nuts, washers, fittings, and other components
Follow kit lists and written instructions accurately
Label completed kits and prepare them for production or shipping
Monitor hardware inventory and report shortages
Assist with other light assembly, packaging, or shop-support tasks as required
Maintain accuracy and quality when counting and preparing parts

Social Media and General Support

Assist with preparing and posting basic social media content
Take photographs or short videos of completed products, projects, or company activities
Help organize photos and marketing materials
Assist with responding to basic social media comments or messages when directed
Support company events, promotions, and other marketing activities
Complete various administrative and operational tasks as assigned

Qualifications

Previous experience in office administration, reception, customer service, retail, or a similar role is an asset
Strong verbal and written communication skills
Professional and confident telephone manner
Comfortable using computers, email, Microsoft Office, and basic office equipment
Strong organizational skills and attention to detail
Able to accurately record information and maintain organized records
Comfortable counting, sorting, packaging, and handling small hardware components
Able to manage multiple tasks and changing priorities
Willing to complete both office duties and light hands-on tasks
Reliable, punctual, and able to work independently
Positive attitude and willingness to help wherever needed
Experience with social media platforms such as Facebook and Instagram is an asset
Experience with Microsoft Dynamics 365 Business Central or another ERP system is an asset
