POSITION SUMMARY
The Assistant Project Manager – Healthcare Construction supports the planning, coordination, execution, and close-out of construction, renovation, and capital improvement projects within healthcare and clinical environments.
Working closely with the Project Manager, clinical and operational leaders, architects, engineers, contractors, consultants, vendors, and other stakeholders, the Assistant Project Manager helps ensure projects are completed safely, on schedule, within budget, and in accordance with applicable building codes, healthcare standards, regulatory requirements, and organizational specifications.
The successful candidate will have construction project coordination or project management experience, with demonstrated experience supporting projects in healthcare, medical, laboratory, clinical, or other highly regulated environments. The role requires strong organizational skills, attention to detail, and the ability to coordinate multiple stakeholders while minimizing disruption to ongoing patient care and clinical operations.
KEY RESPONSIBILITIES
Project Planning & Coordination
- Assist the Project Manager with the planning and delivery of healthcare construction, renovation, expansion, relocation, and facility improvement projects from initial planning through completion and occupancy.
- Support the development and maintenance of project scopes, schedules, budgets, milestones, procurement plans, and project documentation.
- Coordinate activities among architects, engineers, general contractors, subcontractors, consultants, equipment suppliers, internal departments, and other project stakeholders.
- Participate in project kick-off meetings, design meetings, construction meetings, site meetings, and project status reviews.
- Prepare meeting agendas, minutes, action logs, decision logs, and follow-up documentation and ensure outstanding items are tracked to completion.
- Monitor project schedules and deliverables and identify potential delays, conflicts, dependencies, or risks for escalation to the Project Manager.
- Assist with the coordination of multiple concurrent projects and project priorities.
Healthcare Construction & Clinical Coordination
- Support construction and renovation activities within active healthcare environments while helping minimize disruption to patients, physicians, staff, and clinical operations.
- Coordinate construction activities with clinical and operational teams, including shutdowns, access restrictions, temporary relocations, equipment installations, and other activities that may affect patient care or facility operations.
- Assist with infection prevention and control requirements associated with construction and renovation activities, including coordination of appropriate containment, dust control, site access, and construction-zone requirements.
- Support compliance with applicable healthcare facility requirements, building and fire codes, accessibility standards, occupational health and safety requirements, and other regulatory requirements.
- Work with clinical stakeholders to understand operational requirements and translate them into project requirements.
- Assist with the planning and coordination of specialized healthcare spaces, which may include clinics, procedure rooms, operating/procedure areas, laboratories, pharmacies, diagnostic areas, clean/sterile environments, administrative areas, and patient-facing spaces.
- Coordinate healthcare equipment, millwork, furniture, fixtures, technology, security, medical gases, mechanical/electrical systems, and other project components as applicable.
- Assist with planning for commissioning, inspections, deficiency resolution, occupancy, and operational readiness.
Construction Administration
- Review and organize construction documentation, drawings, specifications, shop drawings, requests for information (RFIs), submittals, change requests, site instructions, and related project records.
- Maintain accurate and current project files and document-control systems.
- Assist with reviewing contractor schedules, progress reports, quotations, change orders, invoices, and payment documentation.
- Track project changes and support assessment of their potential impact on scope, schedule, budget, and operations.
- Conduct regular site visits to monitor construction progress and identify issues requiring follow-up.
- Document site conditions, deficiencies, outstanding work, and action items.
- Support coordination between design consultants and contractors to resolve construction and design issues.
- Assist with obtaining required permits, inspections, approvals, and project documentation.
Budget & Procurement Support
- Assist in developing and maintaining project budgets, forecasts, commitments, and expenditure tracking.
- Support tendering, quotation, vendor selection, and procurement processes.
- Assist with reviewing contractor and vendor proposals for completeness and alignment with project requirements.
- Track purchase orders, contracts, invoices, change orders, and other project-related expenditures.
- Identify potential budget variances and escalate concerns to the Project Manager.
- Coordinate delivery schedules for construction materials, furniture, fixtures, equipment, and specialized healthcare equipment.
Risk, Safety & Compliance
- Promote compliance with occupational health and safety requirements and organizational policies throughout project activities.
- Assist in identifying project risks and maintaining project risk and issue logs.
- Escalate safety concerns, construction deficiencies, operational conflicts, schedule risks, and other significant issues promptly.
- Support contractor compliance with site-specific healthcare protocols, security requirements, infection-control procedures, and access restrictions.
- Maintain confidentiality when working within patient-care environments and areas containing sensitive or confidential information.
Project Close-Out & Occupancy
- Assist with project inspections, deficiency reviews, substantial completion, commissioning, and final acceptance activities.
- Coordinate deficiency lists and track outstanding items through resolution.
- Support equipment installation, furniture installation, IT deployment, signage, security/access requirements, and operational readiness activities.
- Assist with coordinating staff and departmental moves into newly constructed or renovated spaces.
- Collect and organize close-out documentation, including warranties, manuals, as-built drawings, commissioning reports, permits, certificates, and training records.
- Participate in post-project reviews and document lessons learned and opportunities for improvement.
QUALIFICATIONS
Education
- Diploma or degree in Construction Management, Engineering, Architecture, Building Science, Project Management, Facilities Management, or a related discipline.
- Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or equivalent project management certification is considered an asset.
Experience
- Minimum 2–5 years of experience in construction project coordination, assistant project management, construction management, facilities projects, or a related role.
- Previous experience with healthcare construction, renovation, or capital projects is strongly preferred.
- Experience working in active hospitals, clinics, medical facilities, laboratories, fertility clinics, surgical/procedure environments, or other regulated healthcare settings is a significant asset.
- Experience coordinating architects, engineers, contractors, consultants, vendors, and internal operational stakeholders.
- Experience reviewing construction drawings, specifications, schedules, RFIs, submittals, change orders, and project documentation.
- Experience supporting project budgets, procurement, tendering, and construction schedules.
- Experience with renovation projects occurring within occupied or operational facilities is strongly preferred.
KNOWLEDGE & TECHNICAL SKILLS
- Working knowledge of construction project management principles and practices.
- Understanding of construction drawings, architectural and engineering documentation, specifications, and construction terminology.
- Knowledge of Ontario Building Code requirements and applicable construction and occupational health and safety requirements.
- Understanding of healthcare construction considerations, including infection prevention and control, patient and staff safety, construction containment, operational continuity, and commissioning.
- Strong proficiency with Microsoft Office, including Excel, Word, Outlook, PowerPoint, and Microsoft Project or similar scheduling software.
- Experience with construction/project management platforms such as Procore, Autodesk Construction Cloud, Bluebeam, or similar systems is an asset.
- Strong documentation, reporting, scheduling, budgeting, and project-tracking skills.

WORKING CONDITIONS
- Regular attendance at active construction and renovation sites is required.
- The position may require travel between organizational locations and project sites.
- Some work may be required outside regular business hours to accommodate construction activities, shutdowns, inspections, equipment installations, or work that cannot reasonably occur during clinical operating hours.
- Personal protective equipment must be worn when required on construction sites.
- The role requires the ability to work in active healthcare environments where patient safety, infection prevention, confidentiality, and continuity of clinical operations are critical.
PHYSICAL REQUIREMENTS
- Ability to walk through active construction sites and healthcare facilities.
- Ability to climb stairs and navigate areas under construction when safely permitted.
- Ability to remain standing or walking for extended periods during site inspections and project activities.
- Ability to use required personal protective equipment.
