Facilities & Office Services Coordinator
Location: Toronto, ON (On-Site)
Duration: 3-Month Contract (Potential for Extension)
Start Date: August 4, 2026
Pay rate: $21/hour

About the Opportunity
Our regulatory client, is seeking a Facilities & Office Services Coordinator to join their Operations team on a three-month contract with the potential for extension. This is an excellent opportunity for an organized, customer-focused professional who enjoys working in a fast-paced office environment and supporting day-to-day facilities operations.

The successful candidate will play a key role in ensuring the smooth operation of office services, coordinating vendors, maintaining facilities, supporting meetings and events, and providing exceptional internal customer service.

Key Responsibilities

Coordinate meeting room bookings, room set-ups, catering, and audiovisual support.
Manage office facilities by conducting routine inspections and coordinating maintenance and repair requests.
Liaase with external vendors and service providers to ensure timely completion of work and high service standards.
Support building operations, including security, tenant requests, office equipment, and facility-related projects.
Maintain inventory of office supplies, furniture, and facility equipment while coordinating replenishment as needed.
Receive, sort, distribute, and ship incoming and outgoing mail and courier packages.
Assist with reception coverage as required by greeting visitors, answering calls, and ensuring building security procedures are followed.
Provide administrative support, including document scanning, data entry, reporting, and record maintenance.
Participate in health and safety initiatives and assist with emergency preparedness activities.
Identify opportunities to improve office processes and operational efficiencies.

Qualifications

2–3 years of experience in facilities coordination, office services, workplace operations, or a similar role.
Experience coordinating external vendors and service providers.
Knowledge of facility management processes, including maintenance coordination and building operations.
Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
Excellent organizational and multitasking skills with strong attention to detail.
Outstanding customer service and communication skills.
Ability to prioritize competing tasks in a fast-paced environment.
Comfortable performing light physical duties, including lifting up to 50 lbs. when required.

Preferred Experience

Experience supporting workplace facilities or office operations.
Previous experience coordinating building maintenance or office projects.
Familiarity with facility management systems is considered an asset.
