Position Overview:

We are seeking a highly organized and customer-focused Service Coordinator to join our Facility Services team. In this role, you will be a key connection between our customers, Service Technicians, and internal teams, coordinating service requests, technician schedules, work orders, materials, and day-to-day service needs. The ideal candidate is proactive, responsive, and thrives in a fast-paced environment where priorities can shift quickly. You will play an important role in keeping service work organized, customers informed, and our technicians set up for success from the initial service request through to completion.

Key Responsibilities:

Customer Request & Work Order Coordination - Receive, prioritize, and accurately document customer service requests, ensuring work orders contain the information required for technicians and internal teams to respond effectively.
Technician Scheduling & Dispatch - Coordinate technician schedules based on customer priority, geography, skill requirements, planned maintenance, projects, and available capacity to maximize productive use of field resources.
Customer Communication & Follow-Through - Maintain timely communication with customers regarding scheduling, work status, delays, requirements, and completion while ensuring commitments and follow-ups are not missed.
Work Order Lifecycle Management - Monitor open and incomplete work orders from creation through completion, ensuring documentation, purchase orders, approvals, and other requirements are resolved so work can progress to invoicing.
Preventative Maintenance & Agreement Coordination - Coordinate scheduled maintenance and agreement-related work, ensuring customer-specific requirements, site information, equipment details, and special instructions are current and communicated to technicians.
Material, Subcontractor & Resource Coordination - Support the timely availability of materials, subcontractors, tools, rentals, keys, travel, access requirements, and other resources necessary for field execution.
Cross-Functional Service Coordination - Maintain strong communication between technicians, Field Supervisors, Service Administration, Sales, Safety, and Service Management to resolve scheduling conflicts and execution issues quickly.
Service Information & System Accuracy - Maintain accurate customer, site, equipment, scheduling, and work-order information within VETS’ service and ERP systems to support reliable reporting and decision-making.
Continuous Improvement & Service Support - Identify recurring workflow, scheduling, documentation, or customer-service issues and work with the Service Manager and team to improve service delivery processes.

Qualifications:

3+ years of experience in service coordination, dispatch, customer service, field operations support, or a similar scheduling-intensive role.
Experience within HVAC/R, mechanical, construction, industrial service, or another field-service environment strongly preferred.
Demonstrated experience coordinating field technicians, service calls, preventive maintenance, or geographically dispersed workforces.
Strong understanding of customer service workflows from service request through work completion and billing.
Experience using ERP, field-service management, dispatch, or work-order management software; Jonas or comparable systems considered an asset.
Strong proficiency with Microsoft Outlook, Excel, Teams, and other Microsoft 365 applications.
Proven ability to manage competing priorities and adjust technician schedules quickly in response to urgent customer requirements.
Experience coordinating materials, vendors, subcontractors, travel, access requirements, or other resources supporting field execution.
Strong written and verbal communication skills with demonstrated success communicating with both customers and field personnel.
Demonstrated attention to detail and experience maintaining accurate customer, equipment, scheduling, and work-order records.
High school diploma and/or post-secondary education in Business Administration, Operations, or a related discipline considered an asset.
