Job Overview

The Dock Operations Administrator / Lead Dock Hand plays a critical role in supporting terminal operations through a combination of administrative coordination and hands-on dock leadership. The schedule for this position is a four day work week, working 10 hour shifts. Three days per week are focused on dock administration, shipment processing, customer communication, and transportation documentation. One day per week is dedicated to serving as the Lead Dock Hand, overseeing dock operations, ensuring safe freight handling practices, and providing leadership to dock personnel.

This position requires a strong attention to detail, excellent organizational skills, customer service focus, and the ability to effectively lead operational activities in a fast-paced transportation environment.

Key Responsibilities

Dock Administration Duties (3 Days per Week)

Process inbound trips and ensure accurate, timely shipment information is entered and reported.
Prepare local trips for pickup and delivery operations.
Collect, organize, scan, and maintain freight documentation related to terminal shipments.
Scan and file daily pre-trip inspections, equipment checklists, and yard checks for auditing purposes.
Communicate directly with internal and external customers regarding shipment status and inquiries.
Maintain and update daily tracking reports for key customers.
Support terminal management with administrative and operational tasks.
Assist with data entry, reporting, and record retention requirements.
Ensure compliance with company procedures and documentation standards.

Lead Dock Hand Duties (1 Day per Week)

Lead dock operations and provide direction to dock staff during assigned shifts.
Ensure freight is loaded and unloaded safely and efficiently in accordance with company procedures.
Operate forklifts and material handling equipment safely and effectively.
Verify freight counts and review shipping documentation for accuracy.
Inspect freight for damage and report discrepancies.
Ensure proper trailer loading, weight distribution, and load securement.
Monitor dock productivity and identify opportunities for improved efficiency.
Train and mentor dock employees on safe work practices and operational procedures.
Promote a culture of safety, teamwork, and customer service excellence.
Assist with scheduling, workload coordination, and communication between dock staff and management.
Perform other related duties as assigned.

Qualifications

High School Diploma (Grade 12) required.
Relevant post-secondary education or a combination of education and experience is considered an asset.
Previous transportation, logistics, or terminal experience preferred.
Proficiency in Microsoft Office (Outlook, Excel, Word).
TMW experience is considered an asset.
Minimum two (2) years of forklift operating experience.
Previous leadership or supervisory experience is considered an asset.
Strong administrative, organizational, and communication skills.
Ability to work independently and prioritize multiple tasks.

Physical Requirements

Ability to sit, stand, walk, bend, and maintain balance for extended periods.
Ability to lift up to 50 pounds on a frequent basis.
Ability to work in various environmental conditions, including refrigerated trailers and outdoor weather conditions.
Ability to safely operate forklifts and other material handling equipment.
