Job Overview

We are looking for an organized Administrative Assistant to help keep our day-to-day operations running smoothly. The ideal candidate is reliable and has strong communication and organizational skills.
Responsibilities include:
Making outbound calls and answering inbound phone calls.
Assisting with hiring administration, including tracking applicants, scheduling interviews, and entering data.
Data entry and updating records.

Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping
Organize and maintain filing systems—both digital and physical—to ensure easy retrieval of documents
Support scheduling appointments, meetings, and calendar management for team members
Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
Provide customer support by responding to inquiries promptly and professionally via phone or email
Maintain office supplies inventory, coordinate with vendors as needed, and ensure the office environment remains organized and efficient

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
Experience with data entry, filing systems, and clerical tasks in a professional setting
Familiarity with QuickBooks or similar bookkeeping software is preferred
Excellent customer service skills along with strong phone etiquette for handling multi-line phone systems
Previous experience working in a medical or dental office environment is a plus; dental receptionist or dental office experience highly valued
Ability to type quickly with high accuracy; proofreading skills are essential
Strong organizational skills to manage multiple priorities efficiently
Prior administrative experience in a healthcare setting is advantageous but not required
Demonstrated ability to support team members effectively while maintaining confidentiality
