Overview

The Admissions Clerk, who reports to the Manager of Graduate Studies who is responsible for working closely to support both the Admissions Officers and Funding Officers to ensure a cohesive approach to the online application system and the faculty’s admission objectives. This role is also responsible for sending all admissions and funding letters to applicants, ensuring that all information is accurate, clear, and communicated in a timely manner. The integrity of these letters is crucial, as they contain highly sensitive information. It is essential to maintain confidentiality and always adhere to data protection regulations to safeguard applicant privacy. Additionally, the position plays a crucial role in managing the reporting and analytics for graduate students, working with Registrarial Services to facilitate a seamless transition from applicant to enrolled student.

Responsibilities

Process and administer domestic, international, exchange, qualifying, visiting, and re-

admission applications and offer letters, ensuring accuracy, confidentiality, and
compliance with University policies and admission requirements.

Prepare admission and funding letters, verify applicant credentials, clear admission

conditions, and coordinate with internal and external partners to support admissions,
registration, and visa processes.

Respond to applicant and student inquiries, provide guidance throughout the admissions

process, and develop training materials and procedural documentation to support
admissions operations.

Develop, maintain, and analyze admissions, enrollment, registration, and recruitment

reports to support institutional planning, decision-making, and government reporting
requirements.

Maintain the integrity of student information systems by updating records, resolving data

discrepancies, troubleshooting system issues, and supporting ongoing improvements to
admissions processes.

Maintain the accuracy, integrity, and confidentiality of applicant and student information

by verifying admission documentation, protecting sensitive records, and ensuring
compliance with institutional and regulatory requirements.

Create, maintain and update procedural documentation, tuition schedules and other

resources to ensure consistent and efficient admissions operations.

Qualifications

Completion of College Diploma or Higher in Business Administration, Office

Administration, or a related field, or an equivalent combination of education and
experience.

Minimum one (1) year of administrative experience, preferably in a post-secondary

environment.

Experience using student information systems, databases, reporting software, and

Microsoft Office applications; experience with Ellucian Colleague or Informer is an asset.

Strong organizational, analytical, and problem-solving skills with exceptional attention to

detail and the ability to manage multiple priorities.

Excellent communication, interpersonal, and customer service skills, with the ability to

handle confidential information professionally and accurately.
