Accounts Receivable / Payable & Contracts Administrator

Full-Time | In-Office | North York, Toronto
Starting at $22.50/hour, commensurate with experience

About RSRS

RSRS is a long-established Canadian medical records management company that has been helping physicians, clinics and healthcare organizations manage the secure transition, storage and administration of medical records for nearly three decades.

We work closely with healthcare professionals across Canada during important practice transitions, including retirement, relocation and practice closure. Our team helps ensure that records remain secure, accessible and properly managed while providing responsive support to both physicians and patients.

We are a growing, service-oriented company with a collaborative work environment, and we are currently looking for an organized and resourceful Accounts Receivable / Payable & Contracts Administrator to join our Finance team at our North York office.

About the Role

This is a hands-on position that sits at the centre of the client relationship once an engagement has been signed.

You will help coordinate contracts, invoicing, receivables, billing information and ongoing client administration while working closely with Finance, Operations and other departments.

Because you will often be managing several client accounts at the same time, the ideal candidate is highly organized, comfortable following up with clients, attentive to detail and able to keep multiple moving pieces on track.

This is an excellent opportunity for someone who enjoys combining finance, administration, client communication and problem-solving in a role where their work has a direct impact on the day-to-day success of the business.

The position reports to the Controller.

What You’ll Be Doing

Review signed proposals and agreements to understand the terms of each client engagement.
Coordinate the information required to properly invoice clients for services rendered.
Prepare customer invoices for review and assist with the preparation of client contracts and related documentation.
Track billing information, contract status, renewal dates and client account activity.
Process, verify and post receipts for goods and services.
Complete monthly credit card reconciliations and post approved vendor invoices.
Research and resolve account discrepancies and follow up on outstanding receivables.
Communicate with clients regarding invoices, contracts, account status and service requirements.
Follow up with clients to obtain outstanding signatures or information.
Coordinate information between Finance, Operations and other internal departments to ensure everyone understands the particulars of each client engagement.
Reconcile discrepancies relating to services performed, inventory and file-box counts.
Maintain accurate and up-to-date client information in our CRM and ERP systems.
Enter new customer information and update changes to existing accounts.
Monitor contract renewal and expiry dates for billing and administrative purposes.
Assist with the coordination and documentation of authorized medical-record destruction.
Track monthly destruction activity and assist with inventory checks and destruction requests.
Coordinate couriers, freight, shipping and other third-party logistics resources as required.
Maintain organized records relating to payments, contracts, account status and client correspondence.
Provide a high level of customer service by responding to client inquiries by phone and email.
Perform related administrative duties including data entry, scanning, printing, labelling, filing, mailing and correspondence.
Take on additional responsibilities and projects as assigned by management.

What We’re Looking For

Confidence communicating with clients by both phone and email.
The ability to follow up professionally and persistently when information, signatures or payments are outstanding.
Strong problem-solving and research skills.
The ability to manage several client accounts and priorities at the same time.
A high level of accountability and follow-through.
Strong math, typing and general computer skills.
Proficiency with Microsoft Office, particularly Word and Excel.
Experience using CRM software.
Experience with QuickBooks is strongly preferred.
The ability to build positive working relationships with both clients and internal departments.

Education & Experience

Preferred qualifications include:

Secondary School Diploma or equivalent; post-secondary education is an asset.
Previous experience in Accounts Receivable, Accounts Payable, bookkeeping or a related administrative finance role.
Experience working with shipping, courier or logistics providers.
Experience communicating with physicians, medical clinics or healthcare organizations.

Healthcare experience is an asset but is not required. Training will be provided.

Compensation

Starting at $22.50 per hour, with compensation commensurate with experience.
