Medical Office Assistant

Primary Health Care & Allied Health

Permanent Full time Position: 35 hours per week

Salary Range: $41,926 - $50,191 per year ($23.03 - $27.57 per hour)

Location: Lakeshore and Evans Sites

Job Summary

At the heart of our work is an interdisciplinary approach that delivers holistic, community-based care – with a strong focus on individuals who experience barriers to accessing health services. Our team is deeply committed to inclusivity and works within the social determinants of health framework, emphasizing prevention, health promotion, and client education.

Under the direct leadership of the Manager and working as part of the Primary Health Care (PHC) and Allied Health teams, the Medical Office Assistant (MOA) provides reception and administrative support to the Primary Health Care (PHC) Program and the Allied Health Program.

The MOA is the common link between the client and the provider. They display courteous and caring mannerisms while registering clients, managing the appointment schedule and referrals, and are involved in administrative aspects of the program.

Primary Responsibilities

· Greet clients and visitors at reception in a courteous, professional, and welcoming manner, ensuring a positive first point of contact for the clinic.

· Manage all incoming and outgoing communications, including answering and transferring phone calls, taking and responding to messages, handling urgent communications and directing information to the appropriate healthcare provider for timely follow-up.

· Register new clients, which includes assisting with filling out registration forms and de-roster clients as needed.

· Coordinate appointment scheduling for the Primary Health Care team and Allied Health, including booking, confirming, rescheduling and arranging follow-up appointments through the EMR and recall systems.

· Arrange referrals for external specialists, communicate appointment details to clients, prepare and send confirmation letters, and coordinate translation or interpretation services when needed.

· Support clinical and laboratory operations by preparing requisitions and labels, processing medication refill requests, handling specimen preparation and centrifugation, and assisting with vaccine fridge temperature monitoring.

· Maintain accurate and confidential medical records by scanning, filing, faxing, e-faxing, processing documentation, transferring records to authorized organizations and ensuring compliance with personal health information (PHI) policies and procedures.

· Coordinate home visits by booking appointments, communicating with support workers and family members, and confirming visit details with clients prior to scheduled appointments.

· Perform general administrative and office support duties, including sorting and distributing mail and faxes, photocopying, preparing correspondence, managing office supplies, replenishing paper and toner and sharing available community resources with clients.

· Contribute to the overall efficiency of clinic operations by maintaining a clean and sanitized reception area, participating in staff meetings, providing cross-coverage for team members and supporting collaborative team functioning.

Required Qualifications

· Medical Office Administration Diploma from a recognized institution or equivalent.

· Two to three years of experience in a community health setting.

· Understand privacy legislations, medical and health care system, diversity and inclusion.

· Knowledge of health care coverage programs.

· Excellent interpersonal skills necessary to work effectively across all levels of the organization’s diverse workforce.

· Excellent communication skills, both verbal and written, with the ability to clearly convey information and ideas.

· Great attention to detail with the ability to work under pressure, account for results, and meet challenging deadlines with the ability to maintain a positive attitude

· Excellent working knowledge and ability to navigate a PC windows environment, including shared drives.

· Advanced skills and experience using Microsoft applications (Word, Outlook & Excel).

· Advanced skills and ability to easily navigate the internet/intranet environment.

· Experience and accuracy using database applications (i.e. Electronic Medical Records)

· Ability to learn new software quickly and willingness to continuously develop technology skills.
