Job Summary:
Reporting to the Senior International Student Coordinator, the Langara Global Assistant is a member of the International Student Services Team. This onsite position is the first point of contact for Langara Global. This position is responsible for providing service to and handling inquiries from potential international and domestic students, relatives of potential students, agents, current international and domestic students, staff and international guests. The incumbent supports the Langara Global Student Ambassador Program and provides support for Langara Global student engagement activities and events. The International Education Assistant manages the Front Desk operations and provides assistance and support to the entire Langara Global team.
Job Description:
C. Duties & Responsibilities:
1. Provides information and support to students and educational agents:
- Receives and responds to general inquiries from prospective, new and continuing domestic and international students as well as agents.

Screens inquiries and refers non-routine and/or complex inquiries to other Langara Global staff.

Provides general information as required to current and prospective students on academic and student engagement programs and academic designations offered at Langara.
-
Assists international students with Canadian immigration-related matters, medical insurance, academic support, registration issues, and other unique situations.
-
Provides policy and procedural guidance on issues such as academic probation, refunds, registration, withdrawls etc.
-
Collects student documents, reviews for accuracy, and if necessary, refers students to appropriate Global staff or other Langara College department.

Assists students with navigating and using the Internet, myLangara, the Student Information System (SIS), Brightspace, College website and various community resource websites.
-
As the initial student contact, resolves non-routine inquiries through available resources.
-
Maintains current knowledge of Langara and IRCC policies and procedures, as they pertain to international students and collaborate with other departments to provide required support and information to students especially international students.

Used Banner and CRM (REACH) to access confidential information to provide student with the required support and service.
2. Provides official letters to the students:
-
Applies and adheres to College policies, procedures and processes and standards when issuing any official letters.

Under the direction of the Manager, International Student Services, prepares and issues specialized confirmation letters required by international students for financial purposes, upon request.

Gathers information, prepares and issues official letters for International Students to be used for immigration purposes.
3. Provides comprehensive administrative support to the Langara Global Department by facilitating day-to-day operations, coordinating information flow, supporting students and staff, and maintaining office efficiency :

Manage reception duties and clerical tasks for Langara Global
-
Handle mail processing, courier services and document forwarding for the department.
-
Performs data entry such as, but not limited to, team schedules, calendar updates, and survey responses.
-
Coordinate office supplies and oversees maintenance of office equipment and the cleanliness of the office.
-
Provides translation services in support of departmental activities as needed. These may include but is not limited to written translations, or oral translation for potential international students, staff and international guests.
-
Assesses the nature of students’ requests and forward students to the appropriate team.
-
Ensures availability of departmental brochures for distribution.
-
Maintains accurate records related to grocery food cards being distributed by the International Student Services team to students in financial need.
-
Upon request, resets students’ Student Information System passwords and communicate with Langara Global colleagues regarding the resets.
-
Leads the Science Overrides process once every semester
-
Under the direction of the Manager, International Student Services, provides training to colleagues’ as needed.
4. Assist with the Langara Global Student Ambassador Program:
-
Support hiring, training, and end-of-semester evaluation of Langara Global Student Ambassadors
-
Provides support and feedback to the Student Ambassadors on general front-desk operations and professionalism standards.

Coordinates Student Ambassadors’ schedule based on office demands and sends out email reminders for time entries and work schedules.
5. Assists with Langara Global student engagement events and other special events:
-
In collaboration with the International Student Services team, lead certain on-campus special events, such as, but not limited to, the Wellness Fair and acts as the main contact person for Student Ambassadors during the events. Coordinates materials and supplies for these events and provide appropriate training to Student Ambassadors.

Oversees in-person registration for Langara Global student engagement activities.

Receives and processes cash payments for off-campus student activities.
-
Assists with special events, as necessary.
6. May provide backfill for other Global staff, as required

E. Qualifications Required:
Education & Experience:
-
Grade 12 completion plus two (2) year specialized training and/or post-secondary courses in Business Administration or related field.
-
Two (2) year of recent related experience in an office and customer service setting.
-
An equivalent combination of education and experience may be considered.
-
Oral and written fluency in English and a relevant secondary language compatible with our prevalent markets are required.
-
General knowledge of Immigration, Refugees, and Citizenship Canada (IRCC) policies and procedures.
-
General knowledge of other cultures, their history, religions, norms and customs.
-
Experience dealing with high volume inquiries and dealing with difficult and demanding individuals via front counter, e-mail and by phone, preferably in an educational institution.
-
Knowledge of College facilities, services, policies and operations as they pertain to International Students and Canadian students wishing to study abroad is an asset.
