The Opportunity
Reporting to the Manager, Faculty of Arts & Science (FAS), the Coordinator, Student Engagement & Records coordinates student academic and social programming, develops and implements internal communication and promotion strategies, advises students on academic and non-academic policy and maintains accurate student records to support student success in FAS.
What You’ll Do
Student Records:

Provide a low-barrier and positive registration experience for students
-
With the Associate Dean and faculty, promote academic integrity, including communicating academic integrity policies to faculty and students and supporting the academic integrity process
-
Support Program Chairs, Manager, Associate Dean and Dean with compiling statistics, conducting data analysis and generating reports to address student engagement and development
-
Monitor systemic inequities in academic policies and requirements, with a focus on improving inclusivity for diverse student experiences

Ensure accuracy and integrity of student records

Maintain financial records and documentation, adhering to financial regulations and reporting requirements related to student accounts and awards
Student Engagement:

With the Manager and Program Chairs, support student retention, engagement, and recognition

Advance student feedback initiatives to capture diverse perspectives and experiences
-
Implement data analytics tools to efficiently analyze and visualize student feedback and experience
-
Develop strategies to ensure effective communication with students and faculty
Collaboration and Communication:
-
Respond to inquiries from students, faculty, staff, and external stakeholders providing accurate and timely information
-
Serve as secretary to University and Faculty committees, synthesizing accurate and precise minutes in a timely manner
-
Participate in meetings, committees, and professional development activities to stay informed on matters related to student records and engagement

Support the Manager, Associate Dean and Dean in promoting diversity, equity and sustainability initiatives within the FAS Office
-
Perform clerical duties such as booking rooms, scheduling appointments and requesting and following up on work requests and office maintenance as needed

Liaise between committees, departments and stakeholders

Maintain and update program websites, social media platforms, news and event postings and promotional materials
-
Assist Manager, Associate Dean and Dean with special projects, events and other duties that contribute to the successful operation of the faculty office
Student Employment Support:

Coordinate the hiring and onboarding of student monitors, actively maintaining diversity, equity and inclusion practices into recruitment and selection processes

With Manager and Program Chairs, supervise student monitor responsibilities and activities
-
Collaborate with Manager, Program Chairs and People & Culture to ensure compliance with labour and Collective Agreement policies, procedures and deadlines

Support Manager with accurate budgeting and tracking of budget and payroll expenses
What You Bring
-
Post-secondary degree or equivalent
-
Minimum of three (3) years of administrative work experience in a post-secondary educational environment, preferably in a student services context
- Ability to synthesize, organize and circulate accurate, precise minutes for university and faculty committees in a timely manner

Strong presentation skills demonstrated through presentations at conferences, seminars or workshops and the ability to articulate ideas clearly, confidently, and engagingly to diverse audiences

Advanced analytical skills and ability to generate reports

Demonstrated adaptability, ability to take initiative and work both independently and collaboratively in a team environment
-
Proven ability to meet deadlines and work in an environment with high volume and changing priorities
-
Proven ability to handle confidential matters, sensitive situations, crises and challenging conversations with discretion and tact
-
Demonstrated commitment to the principles of decolonization, equity and diversity; and experience promoting a respectful work and learning environment for students, staff and faculty
Work Arrangement & Compensation
Mode of Work: On Campus
Compensation: Hiring Range - $31.59 to $36.14 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of *benefits; Salary Range - $31.59 to $41.52 per hour
- The successful incumbent has the option of pay in lieu or enrollment in benefits.
Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract with an expected duration of 1 year
