Job Description
Wm Schmidt is actively seeking a | Service Coordinator - HVAC |
Our Service Coordinators are a key component and part of our exceptional customer facing support teams; this role is responsible for the coordination and scheduling activities for service and maintenance operations as well as daily service supports. Our coordinators support our front-end service technicians and rough-in teams; through accurate and timely ordering and securing of materials, working in conjunction with the customer to solution ways to ensure all vested parties’ satisfaction. In this role successful candidates will be predominately responsible for the continual establishment and updating of customer and technician service procedures, while maintaining a detailed and strong understanding of the industry procedures, equipment and terminologies.
Our Service Coordinators are often the front client facing point of contact for our teams and provide an innovative solution-based approach to our commitment to top tier customer satisfaction.
Key deliverables and executables include exceptional customer service and service technician support.
Key Duties include but are not limited to:
- Schedule & Coordinate HVAC service calls and technician assignments
- Provide exceptional Customer Service via the need to communicate with customers regarding appointments, service updates, and job status
- Consult & Support technicians with job planning, technical coordination, and parts procurement
- Ensure accurate Documentation via Prepare and manage work orders, service documentation, and invoicing information
- Coordinate & Support emergency and after-hours service calls as required
- Inventory & Supply chain management - Order and track parts, materials, and equipment for service jobs
- Audit, Review and Maintain accurate records, including service, customer information and related details
- Provide objective and constructive feedback to solution with management workflow efficiencies
- Provide solutions related to work efficiency, customer satisfaction, product feedback etc.
- Assist and Support warranty claims and manufacturer communication when necessary
- Actively work to grow and develop the company, the staff and the HVAC service department
- Document issues and repairs ensuring timely follow up, customer care and satisfaction. Provide feedback to the department and team on learnings and experiences that may be beneficial for future troubleshooting and/or product and material evaluation.
- In conjunction with the Health Safety and Environment department, lead by example, instill and facilitate a culture of safety and excellence and satisfaction in a professionally job pridefully executed.
- Other duties as assigned.
Organizational Reporting Structure:
- Reports To: HVAC Manager; receives operational guidance and direction related to inventory, service and budgetary related operational tasks and is provided leadership oversight directly via the reporting relationship to the HVAC Department Manager. This role works closely and in partnership with the HVAC Supervisors and their teams to coordinate and dispatch.
- Direct Reports: None. Some HVAC and/or admin staff maybe selected to assist and provide mentorship and training however this is not to be considered a supervisory type of relationship.
Successful candidates will demonstrate:
- Previous HVAC Experience
- o Previous experience in high-volume call centers, Dispatching, Service Coordination environments is considered a significant asset but not a requirement.
- Experience in Residential HVAC: Preference will be given to new home construction experience; however, all related experience is considered an asset.
- Excellent proven Communication skills and abilities – ability to work interdepartmentally & with teams
- Exceptional Customer Service skills and abilities with clear and concise verbal and written communication abilities and a talent for clear and concise messaging.
- Diligent & Strong Organization skills – a proven ability to be able to handle multiple priorities, competing priorities and ensuring completion on plan and schedule.
- Thrives in a fast-paced environment
- High demonstrated level of proficiency with scheduling software systems, MS Office suite, and ability to learn and grow to learn internal systems and service management software.
- Valid driver’s license preferred
- Ability to work both independently and as a collaborative team member.
