Full job description

JOB OVERVIEW

We are seeking a Customer Support Specialist (CSS) to join our team. In this role, you will be responsible for providing professional, courteous Customer Service on both telephone and email inquiries. The ideal candidate will be accountable for addressing customer inquiries and complaints and processing transactions in a transportation and logistics environment. The CSS promotes the organization, acting as a brand ambassador, providing positive experiences to all customers.

This is a full-time onsite position based in an office at 62 Administrations Road, Concord, Ont. L4K 3R7

Essential Functions:

· Provide information about shipment status: ETA’s, appointment detail, delivery confirmation, etc.

· Research and resolve customer’s issues, acting as the liaison between departments when necessary

· Provide information about service availability

· Keep records of customer interactions, customer contacts and action taken

· Coordinate pick-ups on areas outside of the GTA

· Coordinate re-routing/re-consignment of shipments as directed by customers and inform them of the appropriate accessorial charges involved

· Handle complaints: provide appropriate solution/alternatives within the time limits and follow up to ensure resolution.

· Demonstrate a passion for excellence with respect to treating and caring for customers

· Escalate inquires or issues to Manager when assistance is required to resolve satisfactorily with customer

· Direct callers to correct person/department for inquiries outside the CSS scope

· Provide Manager with updates on problem areas and suggest recommendations for enhancements or improvements to better serve our customers

· Strong customer service and troubleshooting skills

· Exceptional conflict resolution, negotiation and objection handling skills

· Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment

· Ability to effectively communicate; both verbally and in writing

· Work well under pressure

· Strong attention to detail

· Ability to deal with people sensitively, tactfully, diplomatically and professionally at all times

· Computer literate, including effective working skills of MS Word, Excel, Outlook and AS400

· Excellent data entry/typing skills

· Professional appearance and manners

· Strong work ethic and positive team attitude

Working Conditions:

· Fast-paced call-centre/customer support environment with frequent interruptions

· Regular use of desktop computer, telephone, and related peripherals

· Manual dexterity required for data entry and multi-system navigation

· Frequent sitting for extended periods

· Occasional lifting and moving of paper boxes (up to 20 lbs.)

· Occasional overtime may be required based on business needs

· Interaction with internal departments and external customers throughout the workday

Minimum Requirements:

· Minimum 1–2 years customer service experience, preferably in a transportation, logistics, or OSD (Over, Short & Damaged) environment

· Demonstrated experience handling high-volume phone and email inquiries

· Proven ability to investigate and resolve customer issues and complaints

· Strong verbal and written communication skills with the ability to communicate professionally with customers and internal teams

· Experience providing shipment status updates (e.g., ETA, delivery confirmations, appointments) is an asset

· Ability to multi-task and work under pressure in a fast-paced environment

· Strong conflict resolution and problem-solving skills

· High attention to detail and accuracy in data entry and record keeping

· Intermediate computer skills, including MS Outlook, Word, Excel, and AS400 (or similar systems)

· Professional, customer-focused approach with the ability to act as a positive brand ambassador

· Demonstrated ability to work both independently and collaboratively within a team
