We are looking for a dedicated and skilled Logistics Coordinator to cover a maternity leave for 1 year - possible extension may be available. This role is crucial for managing day-to-day dispatch operations and ensuring seamless coordination between drivers and support teams.
Logistics Coordinator Job description:
This position is responsible for planning and directing fuel deliveries by collecting information on inventory data from customer sites, order generation and entry as well as ensuring driver and equipment utilization in a fast-paced environment, to provide the best service to the customer in the most effective manner.
Our facility is operated 24/7, 365 days a year.
To be considered you must be able to multi-task, have excellent customer service skills and have an excellent attendance record.
Responsibilities / Duties:
- Ensure proper use of CCF equipment resources.
- Administer, Maintain & update various software: Dispatch software – Octane, Geotab, Intellect, VRO route optimization system etc.
- Monitor and track drivers' locations and statuses using call logs and GPS tracking systems to ensure timely and accurate deliveries.
- Cost control awareness; ensure productivity among drivers, report opportunities for improvement.
- Work with Regional Manager to maximize assets and productivity.
- Emergency response & incident documentation of delivery issues.
- Maintain and update comprehensive call logs of dispatch activities, including interactions with drivers, incidents, and resolutions.
- Ensure employees transmit customer billing information accurately and on time, manage paperwork and work with the CCF admin team to ensure all paperwork is accurate and received on time 48 hours standard. Immediate response to admin team is the expectation.
- Develop relationships with customers in all areas, be proactive to help them.
- Work around Supply interruptions to minimize impact to customers.
- Use of GeoTab, GPS system to track deliveries and drivers.
- Dispatch delivery drivers, update & make changes as conditions warrant.
- Attend area meetings to obtain feedback from drivers on performance of logistics function, be part of the process to develop changes and implement suggestions.
- Review previous day dispatching, follow up on discrepancies (Volume, Sites, Time etc. )
- Work with other regions to provide support as well receive assistance when needed
- Establish relationships with customers and with management teams across the CCF terminals
- Dispatches and arranges schedules for drivers and vehicles; assign driver routes, destinations, and timelines
- Coordinates with drivers to resolve any issues, problems, or concerns that arise during delivery
- Dispatches drivers in a systematic order to ensure there is no overlapping or backtracking of routes
- Collaborates with stores and advises of drivers' schedules; addresses any concerns or route changes
- Completes departmental reporting as needed
- Completes other duties, including special projects, as assigned by Management
- Responsible for Terminal outage notification and follow up duties
- Shift Report
Vehicle Routing Optimization Duties (VRO)/ Intellect Order
- Manage the VRO routing optimization program and Intellect order tracking, attend monthly meetings and review KPI’s
- Use the VRO system to route and dispatch VRO runs, and analyze/review the runs and ensure compliance
- Update and maintain customer volumes, frequency, and delivery times in the VRO work sheet
- Review Monthly VRO results with Management team and follow up on direction and recommendations, follow up on discrepancies with drivers and advise management on consistent nonconformance
Cross Training
- Responsible for training overnight and weekend logistics coverage
- Ensure that FAQ’s and “Cheat Sheet” is created to have overnight, and weekend coverage mitigate issues effectively

Position Requirements
· Experience: Proven experience in a dispatch role with a strong background in managing call logs and using GPS tracking systems.
· Communication Skills: Excellent verbal and written communication skills with the ability to interact effectively with drivers and team members.
· Technical Skills: Proficiency in Microsoft Excel, including data management and reporting; familiarity with dispatch software and GPS tracking programs.
· Detail-Oriented: High level of attention to detail in managing dispatch operations, including data entry and issue documentation.
· Team-Oriented: Ability to work effectively within a team, demonstrating collaborative skills and a cooperative attitude.
· Flexibility: Adaptable and proactive in handling various operational challenges and changing priorities.
