Full job description

This is a part time position 3 days a week.

Payroll, Benefits, and Employee Records

Administer bi-weekly payroll processing and support accurate payroll submission deadlines.
Complete monthly payroll-related reconciliations, journal entries, and supporting analysis.
Prepare and maintain commission calculations and related payroll inputs, including coordination with Greg and Bobby and distribution to sales representatives.
Maintain payroll records, filings, and employee payroll documentation to ensure information remains current and complete.
Support year-end payroll requirements, including T4 reconciliations, T2200 preparation, taxable benefit tracking, and audit support schedules.
Prepare and maintain recurring mileage, pension, WSIB, and EHT reconciliations and related spreadsheets.
Maintain employee files and ensure required documentation is complete for each employee.
Manage employee benefits administration, including enrollments, terminations, changes, reconciliations, and payroll deduction calculations.
Complete disability and leave-related forms, including STD and LTD documentation, and respond to Industrial Alliance benefits inquiries as required.
Administer WSIB processes, including monthly reconciliations, injury-related forms, claim follow-up, and return-to-work coordination.
Update salary and benefit information (IA) across systems to ensure consistency between HR, payroll, and benefit platforms.
Support annual salary review and increase processes, including administration, record updates, and communication changes in applicable systems.

Recruitment, Onboarding, and Offboarding

Post job openings on recruitment platforms and the company website.
Review resumes, screen applicants, coordinate interviews, and communicate with candidates throughout the recruitment process.
Draft employment agreements and support related hiring documentation.
Prepare onboarding documentation and coordinate new hire setup across HR, payroll, systems, and IT.
Set up new employees in HR and payroll systems, including timekeeping and related employee records.
Coordinate offboarding activities, including system access changes, equipment recovery, final documentation, and checklist completion.

Compliance and HR Administration

Support ongoing compliance requirements, including AODA, Modern Slavery Act, health and safety obligations, and internal policy administration.
Support health and safety committee administration, training coordination, workplace postings, meeting support, and walkarounds.
Manage annual vacation and sick time resets and related employee record updates.
Assist with policy updates, handbook maintenance, communication rollouts, and required HR documentation.
Maintain confidentiality and proper documentation standards for employee matters.

HR Systems, Reporting, and Backup Support

Provide backup support for Tia on overflow work as needed.
Maintain HR, payroll, and employee-related systems, including ADP, DriveHRIS, and timekeeping tools.
Troubleshoot routine system issues and support employees and managers with HR system questions.
Maintain employee data, intranet content, organizational charts, and employee administration platforms for new users and ongoing changes.
Prepare HR-related reports, audit support schedules, and employee data summaries for management review.

Employee Support and Coordination

Serve as a first point of contact for employee HR-related questions and day-to-day HR administration.
Coordinate employee travel, hotel bookings, and related arrangements, and act as the main contact with the travel agent.
Coordinate employee communications, documentation, grievance follow-up, and logistics related to HR processes and internal requirements.
Coordinate employee events, recognition initiatives, welcome packages, company meetings, and other internal culture-building activities.
Assist with performance management administration, including review scheduling, probation tracking, documentation support, and coordination with managers.
