As we continue to expand our customer base across North America, we are strengthening our sales team with a Technical Sales & Customer Service position who thrives in a fast‑paced, collaborative, and hands‑on environment. This is an onsite role, working closely with the VP of Sales, Operations, and Supply Chain – to support and drive strong business performance.
Technical Sales Position Overview
Reporting to the VP of Sales, the Technical Sales & Customer Service Representative is responsible for managing customer interactions, technical quotations, and order processing within an ISO‑certified machine shop and fabrication environment. This role functions primarily as an inside sales position, supporting customers from initial inquiry through to order fulfillment while ensuring all activities comply with Gemini’s quality management system (QMS). The successful candidate combines technical knowledge, strong organizational skills, and disciplined documentation practices to support consistent, high‑quality service.
Position Description – Key Responsibilities
Inside Sales & Customer Support
- Act as the primary inside contact for customer inquiries, RFQs, and order follow‑ups.
- Respond to customer requests via phone, email, and internal systems in a timely and professional manner.
- Maintain clear, accurate, proactive communication regarding pricing, lead times, scope, and order status.
- Support existing customer accounts and encourage repeat business through excellent service provided.
Technical Quoting & Estimating Support
- Review customer drawings, specifications, and purchase requirements.
- Prepare quotations for machining, fabrication, welding, and related services in accordance with established estimating procedures.
- Coordinate with production and quality departments to confirm feasibility, tolerances, materials, and delivery requirements.
- Identify clarification needs and communicate questions or concerns to customers before quote release.
- Follow up on open quotations to support order conversion.
Order Entry & Job Coordination
- Enter and maintain accurate sales orders, work orders, and revisions within Gemini’s ERP system.
- Ensure customer requirements (drawings, revisions, specs, certifications) are correctly captured, communicated internally, and controlled.
- Coordinate internally with production, purchasing, and scheduling to support on‑time delivery.
- Manage change orders and ensure revisions are reviewed, approved, and documented per Gemini’s QMS procedures.
Quality Management System Responsibilities
- Adhere to all applicable ISO QMS, CWB, and ASBA procedures and work instructions.
- Ensure customer requirements are clearly defined, reviewed, and documented prior to order acceptance.
- Maintain proper document control for drawings, specifications, and customer communications.
- Participate in contract review activities as required by the sales and quality departments.
- Support internal audits, corrective actions, and continuous improvement initiatives.
Internal Coordination & Continuous Improvement
- Serve as a liaison between customers and shop personnel to ensure accurate information flow.
- Assist with process improvements related to quoting, order processing, and customer communication.
- Support standardization of sales and customer service processes.
Performance Objectives
- Maintain best practices with applicable laws and procedures.
- Assist with the planning and setting strategic, financial, operational, organizational objectives.
- Ensure accurate and timely reporting. Strong analytical skills and tools.
- Develop, report, and assist to improve KPI metrics.
- Meet external partner and customer expectations while achieving corporate goals.
- Contribute to achieving production targets through effective and efficient business processes.
- Maintain a safe working environment and promote health and safety awareness.
- Maintain a positive 'team' environment through positive and respectful dealings with individuals from all departments.
- Meet set deadlines as per regulatory and reporting requirements.
Qualifications
Education & Experience
- Technical diploma, trade background, and/or post‑secondary education in manufacturing or business preferred.
- 2–5 years experience in inside sales, customer service, or estimating within a machine shop or fabrication environment.
- Experience working in a quality‑managed environment preferred.
Technical Knowledge
- Understanding of machining and fabrication processes (CNC machining, manual machining, and welding (structural steel & pressure piping)).
- Ability to read and interpret engineering drawings, symbols, and basic GD&T.
- Familiarity with common industrial materials, specifications, and finishes.
- Basic understanding of job costing and manufacturing lead times.
Systems & Computer Skills
- Proficient in Microsoft Office (Excel, Outlook, Word).
- Experience with ERP systems for quoting and order processing.
- Comfortable working with document control and revision tracking systems.
