Title: Project & Account Management Specialist (PAMS)
Compensation: $55,000 Annually
Schedule: Monday - Friday, 8:30 AM - 5:00 PM
Job Summary:
A proactive and detail-oriented Project & Account Management Specialist (PAMS) oversees products from concept to completion while strengthening client relationships and supporting product development initiatives. This role requires strong cross-department collaboration, strategic thinking, and the ability to balance operational execution with client engagement.
The ideal candidate will serve as a bridge between R&D, sales, operations, and client stakeholders to ensure successful project delivery, ongoing client satisfaction, and continuous improvement of products and processes.
PAMS function under 3 branches of expectations - Project & Product Development, Account Relationship Building & Retention, and Cross-Department Collaboration. All three branches are equally important and must be balanced to be effective in the role
Job Responsibilities:
Project & Product Development
- Lead and manage multiple client-based projects from initiation to completion, ensuring alignment with company objectives, timelines, and deliverables.
- Develop and maintain project plans, checklists, and communication strategies to track milestones, deliverables, and progress while ensuring data accuracy and consistency.
- Support new items and project setups, including, but not limited to, documentation, folder and system setup, kick-off meetings, and cross-departmental communication - including the product sample requests’ inter-departmental handling.
- Analyze workflows to identify inefficiencies, support risk assessments, and assist in developing and implementing SOPs and best practices.
- Prepare and maintain reports, metrics, KPIs, and price lists; compile data and statistics to support senior leadership.
- Develop a strong understanding of technical, procedural, and deliverable requirements of the industry i.e. Components/packaging materials, critical path, unique documentation, etc.
Account Relationship Building & Retention
- Act as a primary point of contact for assigned clients, providing updates on shipments, inventory, pricing, and other project details while maintaining professionalism and ethical standards.
- Build and maintain strong relationships with accounts, acting as a key point of contact throughout project engagement, as well as standard day-to-day correspondence.
- Research and troubleshoot customer inquiries via phone or email, coordinating internal resources to resolve issues promptly and escalating when necessary.
- Create customized support plans for each account tailored to the needs of the client. i.e. setting up weekly meetings, providing custom reports, etc.
- Coordinate B2B systems, customer portals, and order processing; ensure orders are submitted accurately and fulfilled efficiently.
Cross-Department Collaboration
- Serve as the main liaison between clients and internal teams (Sales, Supply Chain, Procurement, Operations, R&D, QA, RA, Accounting) to ensure smooth execution, clear communication, and resolution of issues.
- Act as a backup or support for other organizational functions; manage multiple priorities and deadlines efficiently while upholding company values of integrity and accountability.
- Assist in review of standardized processes and improve workflow efficiency across teams.
- Ensure both clients and internal teams have a clear understanding of expectations, project requirements, and product capabilities.
Assist and coordinate for Interdepartmental project management needs when requested
Skills required for the job:
- Client relationship management and cross-functional collaboration with diverse internal teams and stakeholders.
- Strong project coordination and organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Analytical thinking, reading comprehension, and problem-solving skills for interpreting client requirements and operational processes.
- Proficiency in Microsoft Excel, Microsoft Office Suite, Outlook, and Microsoft Teams; ability to quickly learn ERP systems, CRM platforms, and customer portals.
- High attention to detail and accuracy in project documentation, reporting, order processing, and data management.
- Strong conflict resolution and issue management skills with the ability to coordinate internal resources to resolve client inquiries.
- Ability to work with urgency in fast-paced, deadline-driven environments while maintaining quality and professionalism.
- Effective multitasking, prioritization, and adaptability to changing business needs and project requirements.
- Customer-focused mindset with strong service orientation and relationship-building abilities.
- Excellent written, verbal, and interpersonal communication skills for engaging with clients and internal stakeholders.
- Strong analytical and reasoning skills to support workflow analysis, reporting, and process improvement initiatives.
- Professionalism, empathy, and composure when managing client interactions and time-sensitive situations.
- Experience in sales operations, account coordination, or project management within manufacturing or B2B environments is an asset.
