About Raven Windows

Raven Windows is a specialty window and door company based in London, Ontario. We design, supply, and install high-performance window and door systems for residential and commercial clients. Our team is small, fast-moving, and accountable. We run on systems — and we are building the operational infrastructure to scale.

About the Role

We are looking for an Operations Coordinator who thinks in systems and executes in real time. This is a fast-paced operational environment with many moving parts happening simultaneously — active installations, service calls, scheduling shifts and customer pressure, all running at once.

You must be comfortable handling changing priorities, field issues, and operational pressure without losing structure. If you thrive in controlled chaos — where your discipline is what keeps things from breaking — this role was built for you.

You will report directly to the President and Vice President. You will have real authority and real accountability.

What You Will Do

· Own the daily coordination of installation and service schedules across all active projects

· Maintain our CRM (Pipedrive) in real time — every job, every update, every close-out

· Assign and manage installers and subcontractors — communicate clearly, hold them to schedule

· Track deficiencies from identification to confirmed close-out — nothing disappears

· Enforce sequence — delay work when prerequisites are not met, regardless of pressure

· Confirm operational completion before any invoicing milestone is released

· Produce a written weekly report for the President and VP — open projects, service tickets, patterns, risks

· Approve operational expenses up to 5,000.00; escalate everything above that

· Use digital tools to communicate, track, and close — not to document after the fact

What We Are Looking For

· CRM fluency: You have used a CRM or project tracking system (Pipedrive, HubSpot, Monday, BuilderTrend, ServiceTitan, or similar) as your primary work tool — not occasionally, daily

· Operational discipline: You track everything in a system, communicate through structured channels, and maintain real-time visibility across active jobs. You do not rely on memory or informal notes

· Coordination experience: You have managed schedules, crews, or service workflows — field-facing, not just office-based. Construction, trades, or service industry is an asset, not a requirement

· Composure under pressure: You stay organized when things shift. Field problems, schedule changes, and difficult customers do not break your structure — they are part of the job

· Communication velocity: You respond fast, communicate clearly, and keep everyone updated without being asked. Silence is not your default

· Written reporting discipline: You produce structured updates and reports automatically — this is part of how you work, not extra effort

Based in London, ON: This role is fully in-person — 7:00 AM to 4:00 PM, Monday to Friday

Pay: $60,000.00-$80,000.00 per year
