NATURE AND SCOPE
The Accounting Technician is responsible for supporting the financial operations of Thorpe Recovery Centre by performing a range of accounting and bookkeeping functions. This position maintains accurate financial records through processing accounts payable and accounts receivable, preparing and recording invoices, reconciling accounts, and completing bank deposits and other routine financial reconciliations. The role also includes payroll processing responsibilities and related reporting requirements.
In addition, the Accounting Technician communicates with vendors, clients, and internal departments to resolve discrepancies and respond to financial inquiries. The position supports month-end and year-end processes as required and ensures all financial transactions are recorded accurately, consistently, and in accordance with organizational policies and applicable standards for a non-profit environment.
RESPONSIBILITIES AND DUTIES
- Reconcile ATM, petty cash, and medication accounts.
- Issue client receipts as required.
- Process and enter employee expense claims.
- Respond to client inquiries related to payments.
- Prepare and record invoices to funders and clients for bed sales and Family Program attendance.
- Prepare and facilitate bank deposits.
- Process, review, and record all accounts payable transactions in a secure and accurate manner.
- Act as a primary point of contact for vendors; communicate and liaise with vendors and internal departments to resolve accounts payable inquiries and discrepancies.
- Coordinate weekly EFTs and other electronic payments.
- Prepare cheque runs.
- Verify vendor accounts by reconciling monthly statements and resolving discrepancies.
- Ensure accurate general ledger coding, including appropriate cost allocations.
- Enter and reconcile credit card transactions.
- File and maintain all processed invoices in an organized and systematic manner.
- Process bi-weekly payroll, ensuring accuracy and compliance with applicable requirements.
- Administer employee benefits and RRSP contributions, including setup, changes, and ongoing maintenance.
- Provide backup support to reception duties as required.
- Provide backup support to payroll and other administrative functions as needed.
- Assist with month-end and year-end processes, including preparation of supporting documentation, T4s, and WCB reporting as requested by the Director of Finance.
- Assist with general ledger reconciliations and support audit preparation as required.
- Support financial reporting and grant/funding compliance by ensuring accurate coding and documentation of expenses.
- Maintain confidentiality of all financial, employee, and client information in accordance with organizational policies.
QUALIFICATIONS, EXPERIENCE AND SKILLS
- Post-secondary diploma or degree in Accounting, Business Administration, Commerce, or a related field.
- Three to five years of experience in payroll and bookkeeping.
- Human Resources experience considered an asset.
- Payroll compliance certification (e.g., Canadian Payroll Association/CPB) considered an asset.
- Strong knowledge of federal and provincial payroll legislation and requirements.
- Experience with Payworks payroll system considered an asset.
- Proficiency in QuickBooks is required.
- Strong attention to detail with the ability to accurately prepare and enter financial and payroll-related information.
- Ability to work effectively under pressure and consistently meet deadlines.
- High level of integrity and ability to maintain confidentiality in a professional and ethical manner.
- Strong bookkeeping, analytical, and problem-solving skills.
- Valid driver’s license and current driver’s abstract required upon hire.
- Ability to successfully obtain a Criminal Record Check with Vulnerable Sector Screening upon hire and every two years thereafter.
- Completion of Naloxone training and other mandatory organizational training within the first three months of employment.
