SCOPE
Reporting to the Manager, Research and Faculty Development, the incumbent manages and executes the day-to-day operations of the research unit. They are the resource person for administrative processes related to research. The incumbent is the main point of contact for the administration of all research-related activities at JMSB under the purview of the Associate Dean’s office.
PRIMARY RESPONSIBILITIES
• Coordinate and administer all research related processes, including applications, funding allocations, and the management of research appointments and awards.
• Advise and support faculty, students, and staff on the administration of research funds and associated activities and oversee the scheduling and coordination of Associate Dean, Research and Impact (ADRI) requirements.
• Serve as the primary liaison for research administration, representing the unit in communications with the JMSB Budget Office, Office of Research, Financial Services, Advancement, and other internal and external stakeholders.
• In collaboration with the Associate Dean and Manager, develop and implement policies and procedures related to research development and administration internal to the faculty.
• Oversee and provide direction for all committee related activities, including the organization of meetings, preparation and dissemination of materials, documentation of proceedings, and approval of minutes. Lead the preparation of dossiers and ensure timely execution of all follow ups, communications, and responses to inquiries.
• Administer research grants by ensuring that expenses are in line with policies and allocations (e.g., expense reports, CREW contracts, web requisitions) and by preparing documentation related to grant administration (e.g., notice of award, extension requests, etc.). Ensure careful archiving and reporting of information in relation to research activities and their budgets.
• Assist the JMSB community at large regarding the research policies and procedures of JMSB and Concordia University. Provide financial information and services to researchers and service departments.
• Review and assist with various expense-related requests to 1) externally funded professorships, endowed chairs, Centres and donations; 2) internally funded research accounts including Concordia Chairs and research activities funded by the JMSB.
• Review new donor agreements and open restricted fund accounts as required.
• Update relevant JMSB research processes.
• Assist the Office of the Associate Dean, Accreditation and Faculty Relations with research-related needs, such as conducting verifications of curriculum vitae in software for research reporting accuracy.
• Collaborate with Communications and others to develop faculty’s visibility within the University. Participate in online research promotional material and website design development and ensure that information posted on the website is up-to-date and accurate.
• Assist in maintenance of the JMSB research portal.
• Administer and report on the Associate Dean, Research area funds and budgets. Ensure proper monitoring of activities and reporting of research centres and other privately funded research initiatives (e.g., endowed professorships) as well as overseeing the Associate Dean’s annual report, in collaboration with the Manager, Research and Faculty Development.
• Act as a resource person and provide the necessary documentation and logistical support for academic visitors and post-doctoral appointments.
• Provide outreach and logistical support to the Manager and the Associate Dean in creating partnerships with universities, research institutes, and organizations.
• Perform other duties in support of the unit.
QUALIFICATIONS
• Bachelor’s degree and two to four years of relevant experience, including at least two years in research administration and/or research grant management.
• Good knowledge (Level 4) of spoken and written English in order to communicate effectively and to draft correspondence, documentation and reports; good knowledge (Level 4) of spoken and written French in order to communicate effectively with external partners.
• Good knowledge (Intermediate level) of Microsoft Word, Excel; basic knowledge of SharePoint, and proficient knowledge of e-mail functions.
• Exceptionally detail-oriented, with demonstrated ability to set and meet deadlines and to juggle multiple demands and priorities.
• Knowledge of University policies and procedures and excellent analytical skills to synthesize information and to develop and implement new policies and procedures.
• Excellent communication and interpersonal skills, including the confidence, tact, discretion and judgment to work effectively with academic researchers, graduate students, and senior administrators, and the ability to work independently as well as in a team.
• Proactive attitude and problem-solving skills with proven ability to work in a fast-paced service-oriented environment.
• Knowledge of University and/or Faculty policies, procedures, and systems with regards to research activities is an asset.
• Understanding of research activities in business and/or social sciences is an asset.
• Experience in an academic environment is an asset.
