Full job description

Express Employment Professionals is recruiting on behalf of a well established agricultural operation in Delta, BC is seeking a highly organized and detail oriented Logistics & Administrative Coordinator to support operations during the busy harvest season. This is a fast paced role that requires flexibility, strong organizational skills, and a willingness to work extended hours, including weekends, during peak season.

This position plays a key role in coordinating logistics, managing shipping documentation, supporting accounting functions, and ensuring smooth day-to-day administrative operations.

Key Responsibilities

Logistics & Shipping Coordination

Coordinate inbound and outbound shipments with carriers, customers, and internal teams
Generate Bills of Lading (BOLs) and shipping documentation
Schedule transportation and monitor deliveries
Communicate with freight providers regarding shipment status and delivery timelines
Maintain accurate shipping records and documentation

Customs & Border Documentation

Prepare customs and export documentation for cross border shipments
Ensure all paperwork is completed accurately and submitted on time
Work with customs brokers, carriers, and customers to resolve shipping issues
Maintain compliance with transportation and customs requirements

Accounts Payable & Accounts Receivable Support

Process vendor invoices and assist with accounts payable functions
Generate customer invoices and support accounts receivable activities
Reconcile documentation and investigate discrepancies
Assist with payment tracking and record maintenance

CHEP Pallet Program Administration

Manage CHEP pallet inventory and tracking
Reconcile pallet movements and maintain accurate records
Coordinate with customers, carriers, and CHEP representatives regarding pallet transactions

Administrative Support

Maintain accurate electronic and paper filing systems
Prepare reports and spreadsheets using Microsoft Excel
Assist management with operational and administrative projects
Support daily office activities as required

Qualifications

Previous experience in logistics, transportation coordination, shipping, or agricultural operations preferred
Experience with Accounts Payable and Accounts Receivable processes
Knowledge of Bills of Lading (BOLs), shipping documents, and logistics coordination
Experience in preparing customs and border crossing documentation is an asset
Familiarity with the CHEP pallet program is considered a strong asset
Strong proficiency with Microsoft Excel, Word, and Outlook
Excellent organizational skills and attention to detail
Strong communication and problem-solving abilities
Ability to prioritize multiple tasks in a fast-paced environment

Work Environment

Seasonal position supporting peak agricultural operations
Must be available to work long hours, including weekends, during harvest season
Ability to thrive in a fast-paced and deadline-driven environment
Team oriented with a strong work ethic and willingness to support operational needs as required
